Job Overview

Position Summary: The Pharmaceutical Inventory Specialist plays a crucial role in managing the inventory of medications and vaccines under the guidance of the Clinical Pharmacist. This position is essential for ensuring the efficient ordering, tracking, and quality assurance of pharmaceutical supplies, while also liaising with various health departments.

Key Responsibilities
  • Oversee inventory levels by monitoring stock, predicting needs, and placing timely orders while removing expired medications.
  • Maintain logs for equipment such as refrigerators and freezers, ensuring compliance with safety standards.
  • Receive and verify incoming inventory, ensuring accuracy and proper labeling.
  • Document purchases and maintain an organized database, conducting monthly physical inventory counts.
  • Resolve discrepancies in inventory records and assist other sites with medication-related inquiries.
  • Ensure all relevant information is accurately recorded in the electronic health record system.
  • Communicate updates regarding medications and vaccines to staff members.
  • Build and maintain relationships with pharmaceutical representatives, facilitating training sessions as needed.
  • Manage sample medication inventory, conducting regular audits and reporting findings.
  • Update National Drug Code (NDC) numbers to ensure accurate billing practices.
  • Conduct monthly inspections of medication storage areas to ensure compliance with labeling and storage protocols.
  • Assist with quarterly inspections alongside the Pharmacy Consultant.
  • Document patient assistance medications upon arrival and maintain accurate logs.
  • Report any temperature excursions to the appropriate health authorities.
  • Collaborate with public health officials on staff education and vaccine program management.
  • Ensure that vaccine information sheets are current and readily available.
  • Manage vaccine inventory reporting and pre-order seasonal vaccines as necessary.
  • Encourage regular reviews of immunization statuses for patients.
  • Support best practices in immunization processes and procedures.
  • Log vaccine lot numbers for tracking and compliance purposes.
  • Review immunization documentation to ensure accurate reporting.
  • Perform additional duties as assigned.
Qualifications
  • Pharmacy Technician Certification is mandatory.
  • APICS Certification in Production and Inventory Management (CPIM) is required within six months of employment.
Preferred Qualifications
  • Associate's degree in business, accounting, finance, inventory management, or a related field.
  • 3-5 years of relevant experience in a healthcare setting.
  • Background in pharmacy or related fields is advantageous.
