The Pharmaceutical Inventory Specialist plays a crucial role in the effective management of medication supplies under the guidance of the Clinical Pharmacist. This position encompasses a diverse range of responsibilities, including overseeing inventory, procurement, and tracking of pharmaceuticals and vaccines. The specialist is also tasked with developing and implementing quality assurance protocols, conducting evaluations, and preparing reports for both clinic and state regulatory bodies.
Key Responsibilities- Monitor and manage inventory levels by assessing stock, forecasting needs, placing orders, and removing expired medications.
- Maintain logs for equipment and ensure proper functioning of refrigerators, freezers, and temperature monitoring devices.
- Receive and verify inventory accuracy, label items appropriately, and update stock records promptly.
- Document purchases, maintain an accurate database, and conduct monthly physical inventory counts to reconcile discrepancies.
- Address and resolve any inconsistencies in inventory records.
- Provide guidance and support to other sites regarding medication and vaccine inquiries.
- Record relevant information in the electronic health record system to ensure comprehensive documentation.
- Keep staff informed about updates and changes related to medications and vaccines.
- Establish and nurture relationships with pharmaceutical representatives, serving as the primary contact for relevant communications.
- Coordinate training sessions with drug representatives as requested by healthcare providers, ensuring compliance with all policies.
- Manage sample medication inventory, conduct monthly audits, and report any discrepancies to management.
- Update National Drug Code (NDC) numbers in the NDC Library for accurate billing.
- Conduct regular inspections of medication storage areas to ensure proper labeling and organization.
- Assist the Pharmacy Consultant with quarterly inspections of medication rooms.
- Document patient assistance medications upon arrival and maintain accurate logs.
- Report any temperature excursions to the appropriate regulatory bodies.
- Collaborate with the Public Health Department's Immunization Coordinator on staff training and vaccine program management.
- Ensure that vaccine information sheets and guidance materials are current and readily available.
- Report vaccine inventory and usage to relevant programs, placing orders based on departmental needs.
- Pre-order seasonal vaccines and manage additional requests as necessary.
- Perform monthly inventory and transfer reports, along with bi-annual reconciliation of vaccine stock.
- Encourage regular review of immunization statuses for all patients.
- Support and track best practices in immunization processes.
- Log vaccine lot numbers in the appropriate systems and ensure compliance with reporting requirements.
- Perform additional duties as assigned.
- Experience in a medical setting, such as a Pharmacy Technician or Medical Assistant.
- Associate's degree in business, accounting, finance, inventory management, or purchasing.
- 3-5 years of relevant clerical or healthcare experience.
- Certification as a Pharmacy Technician.
