Position Summary:

The Pharmaceutical Inventory Specialist plays a crucial role in managing the inventory of medications and vaccines under the guidance of the Clinical Pharmacist. This position is essential for ensuring the efficient ordering, tracking, and quality assurance of pharmaceutical supplies while collaborating with various health departments.

Key Responsibilities
  • Oversee inventory levels by assessing stock, predicting needs, placing orders, and removing expired medications.
  • Maintain logs for equipment, including refrigerators and temperature monitors, ensuring compliance with safety standards.
  • Receive and verify inventory shipments, ensuring accuracy and proper labeling.
  • Manage purchase records and maintain an up-to-date database, conducting monthly physical inventory counts.
  • Resolve discrepancies in inventory counts and locations promptly.
  • Provide support and information to other sites regarding medication and vaccine inquiries.
  • Document relevant information in the electronic health record system.
  • Keep staff informed about updates related to medications and vaccines.
  • Build and maintain relationships with pharmaceutical representatives, facilitating communication with the Chief Medical Officer.
  • Coordinate training sessions with drug representatives to ensure adherence to compliance policies.
  • Manage sample medication inventory, conducting audits and reporting any discrepancies.
  • Update National Drug Code (NDC) numbers to ensure accurate billing.
  • Conduct regular inspections of medication storage areas to ensure proper labeling and organization.
  • Assist with quarterly inspections of medication rooms in collaboration with the Pharmacy Consultant.
  • Document patient assistance medications as they are received.
  • Report any temperature excursions to the appropriate health authorities.
  • Collaborate with the Public Health Department on staff education and vaccine program management.
  • Ensure that vaccine information sheets and guidance materials are current and readily available.
  • Manage vaccine inventory reporting and ordering based on departmental needs.
  • Encourage regular reviews of immunization status for patients.
  • Support the implementation of best practices in immunization processes.
  • Log vaccine lot numbers in the appropriate registry.
  • Review immunization documentation to ensure compliance with reporting requirements.
  • Perform additional duties as assigned.
Qualifications
  • Pharmacy Technician Certification is required.
  • APICS Certification in Production and Inventory Management (CPIM) must be obtained within six months of hire.
Preferred Qualifications
  • Associate's degree in business, accounting, finance, inventory control, or purchasing.
  • 3-5 years of relevant experience in a healthcare setting.
  • Background in medicine, particularly as a Pharmacy Technician or similar role.
