Their efforts are vital in ensuring the effective execution of capital projects and facilitating seamless construction operations across all locations.

Key Responsibilities:

Administrative Support:
  • Execute daily tasks and workflow directives from the Director of Capital Projects and Project Coordinator to prioritize and complete weekly objectives efficiently.
  • Oversee scheduling, correspondence, and communication, managing multiple inboxes and ensuring key messages are relayed to the Director of Capital Projects.
  • Organize the Director of Capital Projects' calendar, optimizing daily schedules, including meetings, travel arrangements, and appointments.
  • Coordinate events and meetings by preparing agendas, arranging catering, managing logistics, and documenting meeting minutes.
  • Maintain inventory and procure office supplies as necessary.
  • Record and manage the Director of Capital Projects' expense reports and mileage accurately.
  • Handle logistics for Capital Projects, including shipments, printing, faxing, mailing, copying, filing, and electronic communications.
  • Assist the Project Coordinator with special projects, including document preparation, report generation, and filing on the server.
  • Support additional duties as assigned by the Project Coordinator or Director of Capital Projects.
  • Monitor the signing and filing processes for contracts, bids, change orders, and permits.
  • Keep the Capital Projects' team calendars updated.
  • Facilitate the maintenance of the Capital Projects digital filing system.
  • Assist with the renewal and licensing of computer programs.
  • Conduct product research for various projects and report findings as needed.
  • Check the Capital Projects mailbox daily for incoming shipments and correspondence.
  • Collaborate with the Capital Projects and Facilities teams to manage work orders, ensuring timely updates and reviews with the Director of Capital Projects.
  • Support the project team in monitoring schedules to enhance efficiency and ensure project completion.
  • Maintain communication between the Project team and Facilities departments, attending meetings as required.
  • During peak construction periods, provide administrative support to the Job Site Superintendent as needed.
  • Perform other tasks as directed by the Project Coordinator or Director of Capital Projects.
Financial and Budget Support:
  • Assist in performing detailed financial analyses for recurring expenses.
  • Help develop and manage construction budget forecasts in collaboration with the Project Coordinator.
  • Provide support for accounts payable processes, including invoice and credit card processing.
  • Complete additional tasks as assigned by the Project Coordinator or Director of Capital Projects.

Qualifications:

  • Minimum of 2 years of experience in an administrative capacity supporting upper management.
  • Associate's or Bachelor's degree in Administration preferred.
  • Exceptional written and verbal communication abilities.
  • Strong organizational skills with the ability to prioritize and manage multiple projects effectively.
  • Ability to work collaboratively in a team-oriented environment while also functioning independently.
  • Proficiency in office productivity software and a willingness to learn new systems.
  • Experience with Google Workspace is advantageous.
  • Meticulous attention to detail and accuracy in record-keeping.
  • Capacity to handle confidential and sensitive information responsibly.
  • Flexible team player, adaptable to change and challenges.
  • Typing speed of 60+ words per minute.
