Medication Supply Coordinator

Position Summary:
The Pharmaceutical Inventory Specialist plays a crucial role in managing the inventory of medications and vaccines under the guidance of the Clinical Pharmacist. This position is essential for ensuring the proper ordering, tracking, and quality assurance of pharmaceutical supplies, while also maintaining compliance with state regulations.
Key Responsibilities- Oversee inventory levels by assessing stock, anticipating needs, and placing orders for medications and supplies.
- Maintain logs for equipment, including refrigerators and temperature monitors, ensuring proper functioning and calibration.
- Receive and verify inventory orders, ensuring accuracy and proper labeling.
- Conduct regular physical counts of inventory and reconcile discrepancies in stock records.
- Provide support and guidance to other departments regarding medication and vaccine inquiries.
- Document all relevant information in the electronic health record system to maintain accurate patient records.
- Ensure staff are informed about updates and changes related to medications and vaccines.
- Foster relationships with pharmaceutical representatives to facilitate communication and training opportunities.
- Manage sample medication inventory, conducting audits and reporting any discrepancies.
- Update National Drug Code (NDC) numbers to ensure accurate billing processes.
- Perform inspections of medication storage areas to ensure compliance with safety standards.
- Assist in quarterly inspections of medication rooms in collaboration with pharmacy consultants.
- Document patient assistance medications upon arrival and maintain accurate logs.
- Report any temperature excursions to the appropriate regulatory bodies.
- Collaborate with public health officials on vaccine education and program management.
- Ensure that vaccine information sheets and guidance materials are current and readily available.
- Manage vaccine inventory reporting and pre-order seasonal vaccines as necessary.
- Encourage regular reviews of immunization status for all patients.
- Support the establishment of best practices in immunization processes.
- Maintain accurate records of vaccine lot numbers and ensure timely reporting.
- Perform additional duties as required.
- Strong organizational skills and the ability to work effectively under pressure.
- Excellent verbal and written communication abilities.
- Proficient in computer skills, particularly in data entry and Excel.
- Detail-oriented with strong problem-solving capabilities.
- Background in healthcare, preferably as a Pharmacy Technician or Medical Assistant.
- Associate's degree in business, accounting, finance, or a related field.
- 3-5 years of relevant experience in a healthcare setting.
- Certification as a Pharmacy Technician.
