Position Summary:

We are seeking a dedicated Human Resources Administrative Assistant to enhance our HR team. This full-time role encompasses a variety of clerical and administrative tasks that support the daily functions of the HR department.

Key Responsibilities:

  • Organize and maintain both paper and electronic personnel and medical records, ensuring accuracy and compliance with established protocols.
  • Perform word processing, manage databases, and assist with correspondence and special projects as directed by the HR Director.
  • Provide coverage for the front desk during lunch breaks and occasionally on weekends.
  • Conduct audits of personnel files and forms post-orientation, preparing for annual inspections by relevant health departments.
  • Track and monitor nursing licenses and CPR certifications, conducting necessary checks for new hires and existing staff.
  • Coordinate logistics for new employee orientations, including room reservations and materials preparation.
  • Issue photo identification badges for new hires and current staff using designated systems.
  • Assist with reference checks and other post-offer activities, ensuring compliance with hiring protocols.

Position Classification: This is a non-exempt, hourly role.

Qualifications:

Education: An associate degree in a relevant field or an equivalent combination of education and experience is preferred.

Experience: A minimum of two years of office experience is required.

Required Skills: Strong oral and written communication abilities, effective time management, organizational skills, and a customer service-oriented approach are essential. Attention to detail and the ability to handle confidential information with discretion are critical.

Technical Proficiency: Candidates should demonstrate proficiency in standard office equipment and software, particularly in Microsoft Office Suite, including word processing, email, spreadsheets, and databases.
