The Special Events Director is accountable for the strategic planning, management, and execution of all significant fundraising initiatives at PPSENFL. This role involves maintaining a portfolio of event sponsors and overseeing the Special Events Coordinator. Regular collaboration with the Chief Development Officer (CDO), VP of Development, and Development team members, as well as volunteer event chairs and committee members, is essential. This position allows for remote work but requires weekly logistical presence at our headquarters, along with a willingness to travel and work during evenings and weekends as needed.

Key Responsibilities:

  • Formulates and proposes the annual special event strategy for the affiliate, including event selection, sponsorship options, scheduling, and venues, aiming to generate over $1M in event revenue.
  • Sets specific event objectives in partnership with the VP of Development; devises strategies, plans, and budgets to enhance fundraising outcomes and maximize attendance; prepares and reconciles event financial plans; tracks and reports on progress towards goals. Ensures accuracy of all invoices, adherence to budget, and timely payments.
  • Recruits, manages, and collaborates with event chairs, committees, and volunteers.
  • Works closely with philanthropy advisors to cultivate, solicit, and steward event sponsors.
  • Maintains a portfolio of event sponsors.
  • Oversees all logistical aspects of events, including venue selection, vendor contract negotiations, catering, and day-of operations. Secures contracts with external vendors, ensuring proper legal review and approvals are obtained prior to execution.
  • Manages all event-related communications, including drafting sponsorship proposals, invitations, committee correspondence, and acknowledgments. Collaborates with the Communications team to prepare invitations, talking points, videos, and promotional materials before and after events.
  • Ensures comprehensive risk management for events, including securing necessary insurance agreements and collaborating with the Director of Security to adhere to all safety protocols.
  • Stays informed about local community event calendars and collaborates with local organizations to prevent scheduling conflicts.
  • Supervises the Special Events Coordinator, ensuring accurate digital records and files for each event, including sample invitations, programs, sponsor lists, and contracts.
  • In partnership with team members, ensures database accuracy for event mailings, sponsorship solicitations, and registrations.
  • Responsible for timely and accurate submissions of necessary permits.

Qualifications:

  • Bachelor's degree required.
  • Experience in special events management is essential; fundraising experience is preferred.
  • Proven track record of attention to detail and accuracy.
  • Familiarity with Salesforce is a plus.

Compensation and Benefits:

  • Starting salary: $75,000 per year.
  • Eligible for all applicable benefits starting the first of the month following 60 days from hire.
  • Paid Time Off: 3 weeks of paid time off, 10 recognized holidays, 1 personal day, and a birthday holiday, accruing immediately but not available until after 90 days of employment.
