Key Responsibilities:

Role Overview:

The Event Management Specialist will collaborate closely with the Arts & Culture Team and the Special Needs Team, providing support across various aspects of event planning, membership management, registration, and administrative functions.

Events encompass a diverse range of activities including year-round author discussions, film screenings, educational seminars, musical performances, and community festivals. These events may be conducted in-person or through virtual platforms, with occasional evening or weekend commitments.

The Specialist will play a vital role in member renewals, participant recruitment, event reporting, coordination, and execution. Additionally, this position involves assisting individuals with event registrations via phone. Strong communication skills, both over the phone and through email, are essential for success in this role.

Core Duties & Responsibilities:

Event Operations and Coordination

- Respond to inquiries and manage events while delivering exceptional customer service to current, past, and prospective members and attendees.

- Research and identify potential venues for events.

- Manage volunteer confirmations and address inquiries as necessary.

- Oversee vendor relations and logistics, including obtaining quotes, menus, and other logistical elements.

- Prepare necessary materials for events.

- Coordinate travel arrangements (airfare, hotel bookings, transportation, etc.) for speakers as required.

- Communicate with high-profile members and donors regarding upcoming events.

- Enter events into various community calendars for promotional purposes.

- Create engaging content for social media to promote events.

- Assist individuals with registration issues, process registrations via phone, and troubleshoot technical problems.

- Ensure both locations have adequate marketing materials for upcoming events.

- Schedule venue usage for on-site events and virtual meetings.

- Check-in attendees for events, both on-site and off-site.

- Manage the film festival website.

- Process cash/check payments as needed on-site.

- Prepare and submit payment requests to the finance department.

- Generate invoices for individuals, members, or organizations as required.

- Track expenses using spreadsheet software.

- Utilize customer relationship management (CRM) software effectively.

Required Qualifications:

Experience & Skills:

- A minimum of 3 years of relevant experience is required.

- High School Diploma or equivalent is required; a College Degree is preferred.

- Proficiency in Microsoft Word, Excel, and Outlook is necessary.

- Familiarity with Jewish history, traditions, and culture is preferred.

- Ability to engage in cold calling with confidence.

- Strong writing skills are essential.

- Comfort in seeking assistance from team members is important.

- Flexibility in work hours and locations is required, including evenings and weekends as needed.

- Attention to detail, excellent customer service skills, and a positive attitude are crucial.

- Willingness to learn and adapt to the culture of the organization is essential.

- Strong interpersonal skills are necessary; being approachable, a good listener, and empathetic is key.

- Ability to work independently and efficiently in a fast-paced environment with multiple priorities is required.

- Collaborative skills to foster a supportive team atmosphere and maintain professional relationships with clients, vendors, and external contacts are essential.

- Reliable transportation is necessary, with the ability to work at either location or off-site as required.

- Experience with CRM systems and online event platforms is advantageous.

Compensation:

$35,000 - $45,000
