Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Practical Skills Clinic. As an Administrative Assistant, you will play a critical role in supporting the day-to-day operations of our clinic, ensuring the smooth delivery of services to our clients and their families.

Key Responsibilities
  • Administrative Support: Provide administrative support to our staff and clients, including tasks such as making travel arrangements, preparing documents, and managing supplies.
  • Front Desk Reception: Greet clients, parents, and employees at the front desk, providing a warm and welcoming experience.
  • Office Management: Maintain an organized and tidy office environment, ensuring that all supplies and equipment are readily available.
  • Documentation and Record-Keeping: Organize and maintain accurate and up-to-date documentation on Google Drive, ensuring that all records are secure and compliant with HIPAA regulations.
  • Email and Communication: Manage our email inbox in a professional and HIPAA-compliant manner, responding to inquiries and requests in a timely and efficient manner.
  • Financial Management: Assist with limited accounts receivable and payable responsibilities, ensuring that all financial transactions are accurate and up-to-date.
  • Reporting and Analytics: Generate monthly Microsoft Excel reports, providing valuable insights and data to inform our business decisions.
  • Technology and Systems: Maintain our automated workflow system (Airslate), ensuring that all systems are up-to-date and functioning correctly.
Requirements
  • Experience: Previous experience working in a medical office or training in HIPAA is preferred.
  • Technical Skills: Proficiency in Microsoft Office and Microsoft Excel, as well as basic scanning and faxing tasks.
  • Soft Skills: Strong written and verbal communication skills, with the ability to navigate and troubleshoot technology issues independently.
  • Personal Qualities: A positive attitude, strong work ethic, and ability to work effectively as part of a team.
