Key Responsibilities:
- Manage and coordinate both domestic and international travel arrangements, ensuring all logistics are handled efficiently.
- Generate and reconcile expense reports, verifying payments to corporate credit cards for accurate reimbursement.
- Compile and present data to provide visibility on travel status for review and approval.
- Facilitate effective communication by processing and screening incoming and outgoing correspondence.
- Prioritize and schedule management-level appointments, optimizing time management for senior executives.
- Coordinate with relevant teams to maintain necessary resources and office supplies.
- Plan and execute logistics for internal and external events at the senior executive level.
- Provide mentorship and guidance to junior staff, operating with minimal supervision.
Essential Qualifications:
- Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Minimum of 3 years' experience in administrative support, particularly at the vice president level.
- Demonstrated ability to manage integrated schedules and coordinate travel arrangements.
Preferred Qualifications:
- Associate's or Bachelor's degree.
- 5+ years of experience collaborating with executives to establish operational rhythms for leadership teams.
- Experience in data interpretation and project management for senior leadership.
- Knowledge of financial services and capital markets.
Education:
Accredited education/experience typically acquired through basic education (e.g., High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience.
Travel Requirements:
Domestic travel may be required for training and meetings.
Work Schedule:
Full-time, First Shift, 7:00 AM - 4:00 PM.
