Chipton-Ross is seeking a highly organized Executive Office Assistant for a contract opportunity.

POSITION SUMMARY:
This role involves providing comprehensive support to the Treasurer within the Finance and Corporate Audit division. The ideal candidate will possess outstanding time management abilities and demonstrate a proactive approach to their responsibilities. Regular and predictable attendance is essential.

KEY RESPONSIBILITIES:
  • Manage and coordinate both domestic and international travel arrangements, ensuring all logistics are meticulously monitored.
  • Generate expense reports and assist in reconciling corporate credit card transactions for timely reimbursements.
  • Compile and present data to offer visibility for traveler's review and signature; adeptly create, edit, and maintain both electronic and written communications.
  • Track and maintain critical information related to departmental and business operations, effectively communicating diverse information to various audiences.
  • Process and screen incoming and outgoing communications to guarantee accurate dissemination of information.
  • Prioritize and schedule executive-level employee availability to optimize time management; maintain designated conference room schedules.
  • Collaborate with relevant contacts to facilitate the acquisition and upkeep of necessary resources.
  • Order and manage office supplies; plan and execute logistics for high-level internal and external events.
  • Provide mentorship to less experienced staff members; operate with minimal supervision.

REQUIRED QUALIFICATIONS:
  • Proven experience in developing and maintaining integrated schedules using Outlook.
  • Demonstrated ability to coordinate and process travel arrangements.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Extensive administrative support experience at the vice president level.
  • A minimum of 3 years' experience in relevant administrative roles.

DESIRED QUALIFICATIONS:
  • Associate's or Bachelor's degree.
  • 5+ years of experience collaborating with executives to establish and manage operational rhythms for leadership teams.
  • Experience in data collection, interpretation, and project management for senior leadership.
  • Ability to manage multiple deliverables and deadlines with minimal oversight.
  • Familiarity with financial services, investment banking, and capital markets.

EDUCATION:
Typically requires a high school diploma or GED, along with 7 or more years of related work experience, or an equivalent combination of education and experience.

TRAVEL REQUIREMENTS:
Domestic travel to client sites may be necessary for training and meetings.

WORK SCHEDULE:
Full-time, first shift, with hours from 7:00 AM to 4:00 PM.
