Livewire, a prominent player in the technology sector, is seeking a skilled Accounts Receivable Specialist to manage financial transactions and support administrative tasks in a dynamic setting.


The Accounts Receivable Specialist will oversee daily invoice generation, assist clients via phone and email, process payments, handle collections for overdue accounts, and monitor recurring revenue streams. This role requires the timely execution of daily tasks and documentation as assigned. The successful candidate will collaborate closely with the Accounting Office Manager and provide support for various administrative duties as needed. The ideal applicant should thrive in a fast-paced environment and demonstrate proficiency in navigating processes effectively. They should also be capable of working independently and have a track record of meeting financial deadlines.


Key Responsibilities:


Accounting Responsibilities:

  • Utilize Quickbooks Online & Zoho (CRM software)
  • Prepare Invoices Daily
  • Process Payments and Deposits
  • Manage Scanning and Filing Tasks
  • Assist Clients with Billing Queries via Phone and Email
  • Handle Daily Invoicing and Payments for Recurring Revenue Accounts
  • Conduct Collections on Overdue Accounts
  • Process W-9 and Certificate of Insurance Requests from Clients
  • Track and Reconcile Builder Credits and Accounts
  • Ensure Timely Processing of A/R Reports for Payroll Commissions
  • Create and Monitor Gift Cards for Clients
  • Provide Administrative Support as Required

Administrative Responsibilities:

  • Welcome Visitors and Schedule Appointments
  • Manage Incoming Calls
  • Correspond with Clients via Email and Phone
  • Prepare Informational Materials for Prospective Clients
  • Complete Tasks Assigned by Management
  • Receive Deliveries and Organize Mail
  • Restock Supplies in Common Areas
  • Close Office and Showroom at Day's End

Cross-Training (not daily duties):

  • Accounts Payable Entry
  • Bank Account Reconciliation
  • Payroll Processing
  • Assist with Travel Arrangements

Qualifications
