We are seeking a highly organized and friendly Front Office Assistant to be the face of our company. This role is responsible for managing the front desk, greeting visitors, and providing administrative support to ensure the smooth running of the office.

Key Responsibilities:

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to.
  • Answer and direct phone calls, emails, and other inquiries to the appropriate departments.
  • Manage the office's front desk, ensuring a clean and organized reception area.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with scheduling appointments, meetings, and conference room bookings.
  • Perform data entry and maintain office records, files, and documents.
  • Support administrative tasks, such as ordering office supplies, managing office equipment, and preparing documents.
  • Assist with onboarding new employees, providing them with office materials and orientations.
  • Ensure smooth communication between departments by relaying messages and information.
  • Assist in the coordination of office events and company functions.

Requirements:

  • High school diploma or equivalent; additional education in office administration is a plus.
  • Previous experience in a receptionist, front desk, or administrative role preferred.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational and multitasking abilities.
  • Friendly, professional demeanor with strong customer service skills.
  • Ability to handle sensitive information with discretion.
