A DAY IN THE LIFE

In this pivotal role, you will be responsible for a variety of tasks, including:

  • Managing project workflows within the Company's ERP system, including invoicing and collections for assigned projects.
  • Collaborating with project stakeholders to ensure timely entry of project information into the ERP system.
  • Overseeing project progression in the ERP system by creating, updating, and converting records as projects evolve from initiation to completion.
  • Supporting revenue forecasts through accurate transaction records in the ERP system.
  • Uploading project documentation into the ERP system and submitting it to clients as necessary.
  • Requesting and processing client purchase orders for awarded projects.
  • Coordinating with logistics to prepare and document final invoices in the ERP system.
  • Verifying invoice accuracy and investigating discrepancies before final submission to clients.
  • For time and materials projects: reviewing time entries and reimbursable expenses, generating draft invoices, and discussing details with Project Managers.
  • Following up with clients to ensure timely payments and collections.
  • Preparing support documentation and requests for credit memos.
  • Recommending solutions to resolve discrepancies.
  • Adhering to safety protocols by following all Company safety rules and OSHA regulations, including attending required safety training.
  • Participating in continuous improvement initiatives and supporting team efforts.
  • Handling phone and email communications, redirecting or escalating as appropriate.
  • Performing general clerical duties, including filing, record maintenance, copying, and scanning.
  • Assisting with document editing or proofreading as needed.
  • Supporting office staff with various administrative tasks.
  • Managing inventory and restocking supplies, placing orders when necessary.
  • Processing, receiving, and distributing mail and shipments.
  • Maintaining confidentiality at all times.
  • Performing additional duties as assigned.

POSITION QUALIFICATIONS:

  • Prior experience with ERP systems; familiarity with Workday is advantageous.
  • Basic understanding of accounting principles is desirable (GAAP knowledge is not required).
  • Proficient in Microsoft Office applications.
  • Ability to work with cross-functional teams and interact with personnel at all levels.
  • Strong analytical and problem-solving abilities.
  • Excellent organizational and time/project management skills.
  • Effective verbal and written communication skills.
  • Capable of working independently and managing multiple responsibilities (self-starter, self-motivated).
