Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The successful candidate will be responsible for managing project flow in our ERP system, collaborating with project owners, and ensuring project information is entered in a timely manner.

Key Responsibilities

  • Manage project flow in the Company's ERP system, including invoicing and collections related tasks
  • Collaborate with project owners to ensure project information is entered into the Company's ERP system in a timely manner
  • Manage project flow in the Company's ERP system by creating, updating, and converting appropriate records as the process moves along from inception to closure
  • Accurately support revenue projections using the various transaction records in the Company's ERP system
  • Request, obtain, and process client's purchase orders for awarded projects
  • Coordinate with logistics to prepare and record final invoices in the Company's ERP system
  • Verify the accuracy of invoices and investigate questionable data before submitting final invoices to client
  • Follow up with clients to ensure timely payments and collections
  • Prepare support and requests for credit memos
  • Recommend actions to resolve discrepancies
  • Exercise safe work practices by following all Company safety rules and OSHA regulations
  • Participate in company's continuous improvement programs and provide support to team efforts
  • Answer phones and emails, and redirect or escalate as appropriate
  • Perform general clerical duties associated with the business, including filing, maintaining records, copying, and scanning
  • Assist with editing or proofreading documents and reports
  • Assist office staff with general administrative support tasks as needed
  • Manage inventory and restock supplies, and place orders when necessary
  • Process and receive, and distribute mail and shipments
  • Maintain a high level of confidentiality at all times

Requirements

  • Previous experience with ERP systems, knowledge of Workday is a plus
  • Basic knowledge of accounting principles desirable (the position does not require GAAP knowledge)
  • Proficient with Microsoft Office software
  • Ability to interface with cross-functional teams and all levels of personnel/management
  • Strong problem-solving and analytical skills
  • Solid organization and time/project management skills
  • Effective verbal and written communication skills
  • Able to work independently and manage multiple responsibilities
