Executive Operations Assistant

Role Summary
GE Vernova is dedicated to transforming the energy landscape, providing innovative solutions to expedite the energy transition. As part of our mission, we are seeking an Executive Assistant & Site Coordinator to enhance our global team dynamics. This position is situated within our Seattle area hub, where we develop cutting-edge software applications tailored for our international utility clients.
Key Responsibilities
Executive Support
- Deliver comprehensive executive assistance to the marketing leader on-site, including managing a dynamic calendar, organizing both domestic and international travel, and preparing detailed expense reports.
- Craft professional communications with meticulous attention to detail, ensuring confidentiality is maintained.
- Facilitate visits from executive leadership by coordinating with fellow executive assistants to guarantee a seamless experience, including badge issuance, arrival/departure logistics, and meeting arrangements.
- Provide administrative support for marketing initiatives, including event planning and execution.
- Oversee customer and visitor briefing meetings, managing logistics from initial planning to execution. This includes reserving meeting spaces, developing agendas, securing speakers, arranging catering, and serving as the primary contact.
- Assist in preparing high-quality materials for customer briefings and internal leadership meetings, such as welcome presentations, videos, agendas, and action logs.
- Lead the organization of employee engagement programs, including scheduling meetings, drafting communications, taking notes, and managing action plans.
- Support or coordinate site events, including team meetings, town halls, and employee resource group activities.
- A Bachelor’s degree with a minimum of 3 years of experience in an administrative capacity, or 6+ years of relevant professional experience.
- Proficient in managing executive-level calendars, coordinating travel, and handling expense reports.
- Highly skilled in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word).
- Experience with conference room and telepresence tools (e.g., Microsoft Teams).
- Strong writing, editing, and proofreading skills for internal communications.
- Ability to create high-quality presentations using PowerPoint.
- Experience in event planning and execution, focusing on logistics and attendee experience.
- Capable of maintaining composure and efficiently switching tasks in a fast-paced environment.
- Self-motivated and organized, able to work effectively with minimal supervision.
- Quick to learn organizational structures and team objectives.
- Adept at fostering collaborative and productive relationships across all organizational levels.
