Job Summary

We are seeking an experienced Administrative Assistant to join our team at Heartland Imaging in Louisville, KY. As a key member of our imaging center team, you will provide administrative support and contribute to the delivery of exceptional patient care.

Key Responsibilities
  • Provide administrative support to the leadership team, including handling HIPAA-sensitive information and maintaining confidentiality.
  • Assist with courier services, including transporting film, CDs, and other materials to referring physician offices.
  • Maintain and utilize knowledge of office equipment, including fax machines, computers, and printers.
  • Create and distribute written correspondences, such as newsletters and memos.
  • Coordinate notifications for new referring practices and facilitate correspondence and mailings with guidance from the Marketing Manager or Administrator.
  • Provide welcoming materials and photographs to new employees at orientation.
  • Coordinate and create marketing pieces and center-wide forms.
  • Assist with maintaining office inventory and utilizing Microsoft Office products to create, update, and maintain documents, reports, and databases.
  • Coordinate and assist with planning center events, luncheons, and other activities.
  • Maintain working knowledge of Imaging Center policies and procedures.
  • Assist with special projects as needed and take the initiative to help other modalities/areas of the Imaging Center as assigned.
Requirements
  • Office, business, and customer service experience required.
  • Medical office experience preferred.
Skills and Abilities
  • Ability to work independently and multitask.
  • Ability to provide documentation accurately and concisely.
  • Proficient in Microsoft Office Software.
  • Knowledge of medical and radiology terminology.
