Job Title: Administration Manager

Be Well Kentucky (BWK) is a leading provider of evidence-based treatment for eating disorders, obsessive-compulsive disorder (OCD), trauma, and other anxiety-related disorders. We are seeking an experienced Administration Manager to join our team in Louisville, Kentucky.

Key Responsibilities:
  • Provide administrative support to the Executive Team, including data analysis, marketing, and compliance.
  • Assist the Business Manager with administrative tasks and support the Director of Operations in matters of compliance monitoring.
  • Lead and guide the reception team, ensuring excellent customer service and a positive patient experience.
  • Collaborate with the administrative team to improve patient care and facility operations.
  • Prepare correspondence, spreadsheets, and other documents as needed.
  • Support the marketing team with special events, social media efforts, and community outreach.
  • Provide excellent customer service by responding to requests for information and assisting with benefits enrollment.
  • Function as a creative and forward-thinking support to hiring managers for recruiting needs.
  • Assist with onboarding and new hire orientation.
  • Post team member communications and staff newsletters.
  • Maintain Human Resources information system records and compile reports from the database.
  • Participate in developing department goals and objectives.
  • Investigate and resolve employee grievances and coordinate processes responding to employee complaints.
Requirements:
  • Bachelor's degree in business administration or a related field, and at least one year of work experience in a similar role.
  • Or 5+ years of experience in a similar role in lieu of a degree.
  • Ability to learn new systems quickly and be 'tech savvy.'
  • Effective interpersonal skills, relationship-building skills, and strong customer service orientation.
Preferred Qualifications:
  • Working knowledge of basic human resources principles and practices.
  • Excellent writing and analytical skills, graphic design, and social media savvy.
  • Proficiency in a Google environment.
  • Demonstrated commitment to accuracy and ability to work with confidential information.
  • Collaborative work style and comfortable in a busy, deadline-driven environment.
