JOB OVERVIEW

The Parts Coordinator is responsible for the collection and delivery of parts to various company locations, dedicating around 75% of their time to driving. This role also encompasses administrative and organizational tasks within the parts department, which includes overseeing stock placements, distributing parts and tools to maintenance staff, procuring supplies from vendors, and documenting data to ensure the fleet remains in optimal working condition.

KEY RESPONSIBILITIES
  1. Utilize the necessary Personal Protective Equipment (PPE) as required.
  2. Drive a company vehicle to retrieve orders from suppliers and deliver them to designated sites.
  3. Carry out administrative tasks, including verifying shipments for accuracy and completeness.
  4. Maintain and update spreadsheets and input information into the database.
  5. Receive, unpack, and process orders, as well as manage invoices and label parts and storage areas.
  6. Handle parts or supplies allocated to repair orders.
  7. Ensure all items are organized in their designated storage locations.
  8. Conduct regular and physical inventory checks.
  9. Manage and document returns, cores, and warranties in accordance with established protocols.
  10. Deliver excellent customer service to both internal and external stakeholders.
  11. Maintain cleanliness in the parts storage area, parts counter, and receiving area.
  12. Perform additional tasks as assigned.
ESSENTIAL SKILLS & QUALIFICATIONS
  • High school diploma or equivalent.
  • Two years of experience in retail, wholesale, or automotive warehouse settings, or within class 8 trucks and equipment inventory departments.
  • Ability to obtain forklift certification through the company.
  • Capable of working independently.
  • Strong inventory management and data entry skills, with the ability to thrive in a fast-paced environment.
  • Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with regulations and laws related to the safe operation of maintenance facilities.
  • Able to manage constant interruptions, prioritize tasks, and handle time-sensitive pressures.
  • Excellent written and verbal communication skills in English.
PREFERRED SKILLS & QUALIFICATIONS
  • Background in diesel mechanics.
REQUIRED LICENSES & CERTIFICATIONS
  • Valid Class C driver's license.
  • Clean driving record for the past three years.
