Senior Event Coordination Manager

The Corporate Meeting Operations Supervisor is responsible for managing the intricacies of client events and ensuring seamless execution from start to finish.
Key Responsibilities:- Engage with clients to understand their event requirements and develop comprehensive event resumes and/or Banquet Event Orders (BEOs) for the operations team.
- Adhere to contractual agreements to support the account executive effectively.
- Ensure timely distribution of written communications to the operations team.
- Create tailored client menus, draft contracts (BEOs), and coordinate all necessary arrangements to facilitate successful event planning.
- Act as a liaison between various departments and partners to promote additional services and products.
- Oversee the operational execution of events, keeping the sales team informed throughout the process.
- Proactively seek new catering opportunities and nurture existing client relationships through outreach and site visits.
- Prepare engaging proposals and presentations that align with client expectations.
- Ensure high-quality event execution to surpass guest satisfaction metrics.
- Conduct presentations to local destination companies and maintain a robust database for ongoing engagement.
- Collaborate with the culinary team to design menus and offer custom options as needed.
- Provide detailed event information to the operations team for flawless execution.
- Work alongside the banquet captain to oversee events and encourage rebooking opportunities.
- Manage budgetary expectations to meet financial goals.
- Negotiate catering agreements within established company guidelines.
- Conduct site inspections and tasting events for prospective clients as necessary.
- Stay informed about market trends and catering preferences to offer informed recommendations.
- Build and maintain relationships with destination management companies for referrals and event scheduling.
- Develop actionable plans for regular sales outreach and maintain an updated contact database.
Work closely with the operations team to finalize billing processes, manage reward points, and address any necessary refunds or rebates.
Ensure reservations are on track and manage communication regarding potential attrition or revenue shortfalls.
Collaborate with the operations team to guarantee all event details are meticulously covered and executed to exceed client expectations.
Qualifications:Preferred attributes include being a team player, demonstrating enthusiasm, attention to detail, and dedication to achieving excellence. A minimum of one year of relevant experience is preferred.
