The selected candidate will be instrumental in orchestrating enjoyable events such as art exhibitions, picnics, and other social functions. A passion for networking and exceptional interpersonal skills are essential, along with the ability to manage logistics with vendors, including catering, floral arrangements, and entertainment.

Key Responsibilities:

  • Design and oversee an annual events calendar.
  • Proactively plan and execute social gatherings.
  • Engage with guests to coordinate local events and those during travel.
  • Collaborate with the executive team to align events with organizational objectives.
  • Keep the executive informed of important details and deadlines.
  • Manage all aspects of event production, including venue selection, decor, menu planning, and entertainment.
  • Create invitation lists and handle RSVP management.
  • Coordinate with internal departments to ensure event readiness.
  • Arrange travel and accommodations for executives and special guests.
  • Manage schedules and logistics during events.
  • Facilitate the distribution of Foundation publications as needed.
  • Research and organize additional activities for executives during travel.
  • Oversee contracts, budget management, and expense approvals.
  • Act as a liaison for organizations hosting events involving executives.
  • Conduct post-event evaluations and acknowledgments.
  • Develop and implement event management systems and procedures.
  • Perform additional duties and special projects as assigned.

Qualifications:

  • Minimum of three years of experience in event management.
  • Exceptional written and verbal communication skills.
  • Proficient in Microsoft Office and other relevant software.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Positive attitude and ability to maintain composure under pressure.

Education:

  • Bachelor's Degree preferred but not mandatory.

Licenses/Certificates:

  • Valid Driver's License and access to a registered vehicle.

Travel Requirements:

  • Occasional travel for local or out-of-state events may be necessary.
