Position Overview:

The Senior Event Coordination Manager is responsible for overseeing and managing all aspects of executive meetings and events. This role involves close collaboration with clients to ensure their programs are executed flawlessly and meet their expectations.

Key Responsibilities:

– Engage with clients to understand their event requirements and create detailed operational plans, including resumes and Banquet Event Orders (BEOs).

– Adhere to contractual obligations while supporting the account executive to maintain client satisfaction.

– Ensure timely communication with the operations team regarding event details and requirements.

– Develop customized menus, draft contracts, and coordinate all logistical arrangements necessary for successful event execution.

– Act as a liaison with various departments and partners to facilitate the sale of additional services and products.

– Supervise the operational execution of events, keeping the sales team informed of progress and any issues.

Additional Duties:

  • Identify and pursue new catering opportunities while nurturing existing client relationships.
  • Create compelling proposals and presentations tailored to client needs.
  • Ensure high-quality event execution to achieve guest satisfaction goals.
  • Conduct presentations to local businesses and maintain a comprehensive contact database for ongoing engagement.
  • Collaborate with culinary teams to design menus and enhance client offerings.
  • Provide clear and detailed event information to the operations team for effective execution.
  • Work alongside the banquet captain to oversee events and encourage repeat bookings.
  • Manage budget expectations to align with organizational goals.
  • Negotiate catering agreements within company guidelines to maximize revenue.
  • Conduct site visits with potential clients and facilitate tasting events as necessary.
  • Stay informed about market trends and catering innovations to provide informed recommendations.
  • Build relationships with destination management companies for referrals and engagement opportunities.
  • Develop and implement action plans for regular outside sales calls and maintain an updated contact database.

Qualifications:

– A strong team player with a positive attitude and enthusiasm for event management.

– Detail-oriented with a commitment to excellence in all tasks.

– Previous experience in a similar role is preferred.
