Position Overview:

The Corporate Event Coordinator is responsible for managing and executing a variety of client events, ensuring all aspects are handled with precision and professionalism.

Key Responsibilities:

  • Engage with clients to outline their event requirements and create detailed documentation for the operations team, including timelines and setup instructions.
  • Adhere to contractual obligations to support the account management team effectively.
  • Ensure timely communication and distribution of essential information to the operations team.
  • Design client menus, draft contracts, and organize all necessary arrangements to facilitate successful event planning.
  • Act as a liaison with various departments and partners to promote additional services and products.
  • Supervise the operational execution of events, keeping the sales team informed of progress.

Additional Duties:

  • Generate new catering business opportunities and nurture existing client relationships through proactive outreach and site visits.
  • Craft compelling proposals and presentations to attract potential clients.
  • Ensure high-quality event execution to surpass guest satisfaction benchmarks.
  • Conduct presentations to local businesses and maintain a contact database for ongoing engagement.
  • Collaborate with culinary teams to create custom menu options and promote upselling opportunities.
  • Provide comprehensive event details to the operations team for seamless execution.
  • Oversee events alongside the banquet captain to ensure flawless delivery and encourage rebooking.
  • Manage budget expectations to align with organizational goals.
  • Negotiate catering agreements within established guidelines and revenue targets.
  • Conduct site visits and tasting events for prospective clients as necessary.
  • Stay informed about market trends and catering innovations to provide informed recommendations.
  • Build relationships with destination management companies for referral opportunities and maintain event scheduling throughout the year.
  • Develop and implement strategic action plans, including regular sales calls and updates to the contact database.

Collaboration with Operations:

  • Work closely with the operations team to finalize billing processes and manage reward points or refund requests.
  • Ensure reservations are on track and communicate with clients regarding potential attrition or revenue shortfalls.
  • Collaborate with the operations team to ensure all event details are meticulously planned and executed to exceed client expectations.
