Role Summary

The Clinical Support Specialist is responsible for efficiently managing the flow of ambulatory patients presenting with initial injuries, illnesses, and for routine physical examinations. This role involves collaboration with the clinical team to ensure high-quality patient care. Responsibilities include front desk operations, handling phone inquiries, scheduling appointments, and patient processing. The ideal candidate will be a proactive team player who interacts positively with all colleagues.


Core Responsibilities

  • Greet patients upon arrival, confirm their identity, and prepare them for examination in accordance with departmental protocols.
  • Conduct comprehensive vital sign assessments, including audiometry, spirometry, vision tests, and specimen collection, ensuring accuracy and timeliness.
  • Maintain well-stocked examination rooms, routinely check supply and medication expiration dates, and follow proper procedures for reordering supplies.
  • Comply with departmental policies and procedures consistently.
  • Perform daily quality assurance checks on necessary equipment and document results as per Point of Care policies.
  • Complete all required competencies, maintain relevant licenses, and engage in ongoing education through Hospital HealthStream.
  • Exhibit exemplary service standards as perceived by both internal and external clients, including processing Workers' Compensation referrals in line with departmental guidelines.
  • Register patients accurately, collecting and entering demographic and occupational history into the electronic health record system for billing and tracking purposes.
  • Manage incoming fax communications in accordance with departmental protocols.
  • Occasionally assist with onsite examinations, laboratory blood draws, and other testing as requested by client organizations.
  • Demonstrate effective teamwork and maintain positive interactions with all staff members.
  • Provide coverage across multiple office locations to ensure skill competency and service continuity.
  • Perform additional job-related tasks as assigned.

Required Qualifications

  • A minimum of 2 years of experience in a clinical environment, ideally within Occupational Medicine or Primary Care.
  • Certification as a Medical Assistant is strongly preferred.
  • Strong communication skills, proficiency in phlebotomy, and Basic Life Support (BLS) certification are required. Experience with EKGs, urinalysis, and vision testing is highly desirable.
  • Exceptional customer service skills and professional telephone etiquette.
  • Proficient in using electronic health records.

Preferred Qualifications:

  • Experience in an ambulatory physician practice, particularly in Primary Care or Occupational Medicine.
  • Familiarity with electronic health record systems.
  • Knowledge of diagnostic testing relevant to Primary Care or Occupational Medicine.
