Role Summary: The Healthcare Support Specialist (HSS) plays a vital role within the patient care team.

Under the supervision of the Practice Manager, the HSS executes various clinical responsibilities and assists healthcare providers to ensure that every patient receives prompt and effective care.

The HSS is committed to maintaining strict patient confidentiality at all times.

Additionally, the HSS may undertake general clerical or administrative tasks as directed.


Key Responsibilities:

Clinical Duties: Performed under the guidance of the provider:

  • Greet patients upon arrival and guide them to the examination room.
  • If the patient is new, conduct introductions.
  • Interview patients to confirm the purpose of their visit, gather medical history, and measure vital signs, height, and weight.
  • For same-day acute visits, obtain temperature and pulse oximetry readings.
  • Document all patient information in the Electronic Health Record (EHR) in accordance with established policies and procedures.
  • Verify and record allergies, current medications, their strength and frequency, refills needed, and preferred pharmacy.
  • Ensure all relevant documentation, results, and reports are available for the provider's review with the patient.
  • Assist the provider during patient examinations and procedures as needed.
  • Perform phlebotomy and collect blood and other specimens, ensuring proper labeling and preparation for laboratory delivery.
  • Document these procedures in the EHR.
  • Conduct routine in-office laboratory tests and record results in the EHR.
  • Perform diagnostic tests such as EKG and spirometry, providing reports to the provider for assessment.
  • Prepare treatment rooms, ensuring cleanliness and adequate supplies.
  • Clean and sterilize instruments, disposing of contaminated materials appropriately.
  • Manage patient communications (telephone encounters) as delegated by licensed clinical staff or providers.
  • Prepare prescription refill documents for provider review and signature.
  • Maintain organized systems to ensure efficient workflow for patients and providers.
  • Notify reception staff of any expected service delays.
  • Verify that the medical record number is included in the patient's demographic information.
  • Schedule patient appointments and prepare referrals/authorizations for specialist and hospital services.
  • Assist in the review and preparation of Home Healthcare Certifications and other documents as requested.

Minimum Qualifications:
High School Diploma or Equivalent
Knowledge of medical terminology and medications
Excellent customer service and communication skills
Medical Assisting Certification

Preferred Qualifications:
1 year of experience with electronic health records
1 year of experience in an office-based physician practice
