The Practice Administrative Associate plays a vital role in facilitating patient care and physician operations by welcoming patients and visitors, managing telephone communications, scheduling appointments, and maintaining patient medical records.

This position requires a candidate with a solid understanding of front desk operations in a medical setting. Key responsibilities include, but are not limited to:


Responsibilities

  • 1. Manage the appointment scheduling system, including modifications and updates.
  • 1.1 Ensure timely communication of schedule changes to relevant staff and healthcare providers.
  • 2. Oversee the check-in process and front desk operations to guarantee efficient and high-quality service delivery.
  • 2.1 Greet patients upon arrival, confirming and collecting necessary information and signatures in line with established policies.
  • 3. Handle incoming phone calls, assisting callers courteously, taking detailed messages, and directing calls to the appropriate personnel as needed.
  • 3.1 Maintain professional telephone etiquette while interacting with patients and healthcare team members.
  • 4. Execute necessary pre-authorizations for diagnostic tests and procedures as mandated by insurance providers.
  • 4.1 Monitor referrals directed to the practice.
  • 5. Maintain electronic and paper medical records in compliance with organizational policies.
  • 6. Conduct daily administrative tasks, including message retrieval, fax management, filing, photocopying, and mail sorting.
  • 6.1 Forward calls to the answering service and inform them of the on-call physician's status.
  • 7. Collect and reconcile patient co-payments and manage cash drawers in accordance with established procedures.
  • 8. Contribute to team and departmental quality improvement initiatives and evaluations.
  • 8.1 Actively participate in staff meetings.
  • 9. Employ effective communication methods with individuals of diverse backgrounds and abilities.
  • 9.1 Coordinate efforts to gather patient and family feedback regarding their healthcare experiences and engage in initiatives that address identified needs.
  • 10. Perform additional tasks as requested by physicians or management.
  • 10.1 Provide cross-coverage as necessary.
  • 11. Assist with chaperone duties for patient medical procedures as required.
Qualifications

EDUCATION
High School diploma or equivalent is required.

EXPERIENCE
A minimum of 1 year of administrative experience in healthcare or 2 years in a general administrative role is required.

SPECIAL SKILLS
Strong organizational, communication, customer service, and teamwork skills are essential. The ability to manage multiple tasks simultaneously is crucial. Experience with electronic medical records (EMR) is preferred, along with proficiency in Microsoft Office applications. A commitment to a patient-centered approach to care is vital.

Demonstrates professional, effective, and respectful communication, both written and verbal, with patients, families, medical staff, colleagues, vendors, and other departments to ensure continuity of care and enhance the clinical image.
