The role of the Practice Administrative Associate is crucial in coordinating patient care and physician activities. This position involves welcoming patients and visitors, managing telephone communications, scheduling appointments, and maintaining patient medical records.
Key Responsibilities
1. Maintain and manage the appointment schedule, including alterations, deletions, and additions.
1.1 Communicate any schedule changes to relevant staff and physicians/providers.
2. Oversee the check-in process and front desk operations to ensure efficient and cost-effective service delivery.
2.1 Greet patients upon arrival, verifying and obtaining necessary information and signatures in line with established policies and procedures.
3. Handle incoming telephone calls, assisting callers courteously, taking accurate messages, and directing calls to appropriate personnel as needed.
3.1 Maintain professional telephone etiquette while interacting with patients and healthcare team members.
4. Execute necessary pre-authorizations for upcoming diagnostic tests and procedures as required by insurance providers.
4.1 Track referrals received by the practice.
5. Maintain electronic medical records and/or paper charts in accordance with established policies and procedures.
6. Manage daily activities, including message retrieval from answering services, voicemail management, fax distribution, filing, photocopying, and mail sorting.
6.1 Forward calls to the answering service and inform them of the physicians' on-call status.
7. Collect and reconcile co-payments and cash drawers (cash, checks, credit card payments) in accordance with policies and procedures.
8. Collaborate in quality improvement initiatives and contribute to team and departmental evaluations.
8.1 Actively participate in staff meetings.
9. Utilize effective communication methods to interact professionally with individuals from diverse backgrounds.
9.1 Coordinate efforts to gather patient and family feedback regarding their healthcare experiences through surveys and focus groups, participating in interventions to address identified needs.
10. Perform additional tasks as requested by physicians and management.
10.1 Provide cross-coverage as necessary.
11. Assist with chaperone duties for patient medical procedures as required.
Qualifications
Education:
High School diploma or equivalent required.
Experience:
Minimum of 1 year of administrative experience in healthcare or 2 years in an administrative office setting required.
Special Skills:
Strong organizational, communication, customer service, and teamwork skills are essential. Ability to manage multiple tasks is crucial. Experience with electronic medical records is preferred, along with proficiency in Microsoft Office applications. A core philosophy aligned with a patient-centered approach to care is essential.
Demonstrates professional, effective, and tactful communication with patients, families, medical staff, colleagues, vendors, and other departments to promote continuity of care and enhance the clinical image.
