Position Overview:

The role of the Real Estate Services Administrator involves delivering exceptional customer service to both tenants and vendors within the property management sector.

Key Responsibilities:

  • Provide administrative support to management, including handling phone communications, tenant interactions, and preparing financial documents.
  • Ensure all files, such as insurance certificates and lease agreements, are current and compliant with company standards.
  • Collaborate with Building Technicians and vendors to track maintenance requests and oversee the progress of vendor assignments.
  • Assist in the review and coordination of lease administration tasks, including setup and modifications.
  • Prepare and submit tenant billing for approval.
  • Contribute to the development of monthly and quarterly management reports.
  • Process invoices and purchase orders within the accounting system, ensuring timely payment.
  • Identify and resolve common issues independently, applying established solutions.
  • Adhere to standardized procedures while receiving moderate supervision.

Qualifications:

  • A High School Diploma or GED with 2-3 years of relevant experience.
  • Proficient understanding of operational routines and the ability to apply skills across various processes.
  • Intermediate problem-solving capabilities, with the ability to evaluate options independently.
  • Strong communication skills to convey complex information clearly within the team.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Excellent organizational skills paired with a proactive mindset.
  • Basic math skills for calculating percentages, discounts, and other financial figures.
