Position Overview:

The Real Estate Services Administrator plays a crucial role in providing exceptional support to tenants and vendors within the property management sector.

Key Responsibilities:

  • Assist management with a variety of administrative functions, including handling phone inquiries, tenant communications, and preparing financial reports.
  • Maintain comprehensive files, ensuring all documents such as insurance certificates and leases are current and comply with company standards.
  • Collaborate with Building Technicians and vendors to identify maintenance needs, manage work orders, and track progress.
  • Review and coordinate lease administration tasks, including setting up leases and processing amendments.
  • Prepare and submit tenant billing upon receiving necessary approvals.
  • Contribute to the preparation of monthly and quarterly management reports.
  • Process invoices and purchase orders through the accounting system, ensuring timely payments.
  • Address common and uncommon issues that arise in the work area independently.
  • Evaluate available solutions and select the most appropriate options.
  • Enhance team performance through the quality of service and information provided.
  • Adhere to established procedures while receiving moderate supervision.

Qualifications:

  • High School Diploma or GED with 2-3 years of relevant experience.
  • Solid understanding of work routines and standards, with the ability to apply skills across various processes.
  • Intermediate problem-solving skills, capable of selecting solutions independently.
  • Ability to convey complex information clearly and concisely within the team.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong organizational skills paired with a curious mindset.
  • Basic math skills, including the ability to calculate percentages and discounts.
