Job Overview

TEKsystems is in search of a Facilities Coordinator/Receptionist to manage operations across multiple office locations. This role is essential for ensuring smooth facility operations and providing excellent service to both internal and external stakeholders.

Key Responsibilities:

  • Oversee daily operations in both Boulder and Denver offices, alternating between locations as needed.
  • Act as a point of contact for facility-related inquiries and provide support during team member absences.
  • Utilize knowledge of facilities management and vendor relations to ensure efficient service delivery.
  • Manage financial documentation related to facilities operations, including invoicing and work tasks.
  • Maintain high standards of service for all clients, vendors, and service providers.
  • Handle incoming and outgoing mail efficiently, ensuring timely distribution.
  • Coordinate building maintenance and supply procurement, keeping operational trackers updated.
  • Collaborate with the Facilities Supervisor to maintain accurate Purchase Orders.

Daily Duties:

  • Conduct regular inspections of facilities to uphold maintenance standards.
  • Address maintenance and custodial issues promptly, ensuring compliance with safety regulations.
  • Oversee cleanliness and organization of all office spaces, enhancing the experience for employees and visitors.
  • Perform daily walkthroughs to verify completion of work orders and initiate new requests as necessary.
  • Respond to facility-related emails and correspondence in a timely manner.
  • Support conference room management, including maintenance and scheduling.
  • Monitor environmental conditions and report any discrepancies for corrective action.
  • Ensure the reception area is well-maintained and adequately stocked with supplies.
  • Manage visitor access and ensure proper identification is issued.
  • Maintain inventory of office and breakroom supplies, ensuring smooth operations.
  • Document and log all incoming and outgoing mail and packages accurately.
  • Assist with work order intake and other operational tasks as required.

This position is vital for maintaining operational effectiveness and enhancing the overall workplace environment.
