Position Overview:

The role of the Real Estate Services Administrator involves delivering exceptional customer service to tenants and vendors within the property management sector.

Key Responsibilities:

  • Provide administrative support to management, including phone communication, tenant interactions, expense report preparation, meeting scheduling, and document management.
  • Maintain comprehensive files, ensuring that insurance certificates and leases are current and comply with company standards.
  • Collaborate with Building Technicians and vendors to identify maintenance needs, overseeing the status of work assigned to external parties.
  • Review and coordinate lease administration tasks, including the setup and modification of lease documents.
  • Prepare and submit tenant billing upon necessary approvals.
  • Assist in the preparation of monthly and quarterly management reports.
  • Process invoices and purchase orders within the accounting system, ensuring timely submission for payment.
  • Identify and resolve common issues within the work area independently.
  • Evaluate options and select appropriate solutions based on established guidelines.
  • Contribute to team performance through the quality of service and information provided.
  • Adhere to standardized procedures while receiving moderate supervision.

Qualifications:

  • High School Diploma or GED with 2-3 years of relevant experience.
  • Understanding of operational routines and the ability to apply skills across various processes and systems.
  • Intermediate problem-solving skills with the ability to make decisions independently.
  • Strong communication skills to convey complex information clearly within the team.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Excellent organizational skills and a proactive approach to tasks.
  • Basic math skills for calculations involving percentages and discounts.

Work Authorization: Candidates must be authorized to work in the United States without the need for visa sponsorship.
