Position: Customer Service Associate

Report to Title: Supervisor, Customer Service

Location: U.S. Remote

Position Overview
The Customer Service Associate plays a crucial role in ensuring that all customer inquiries and needs are addressed with professionalism and efficiency. This position guarantees that both external and internal clients receive prompt and courteous assistance by managing, coordinating, and overseeing specific customer programs and processes in accordance with established company policies and procedures.

Key Responsibilities

  • Process and manage purchase orders and customer forecasts using the designated order entry system.
  • Provide timely and precise information to customers regarding order status, inventory levels, quotations, and other inquiries by collaborating with relevant departments.
  • Respond promptly to incoming calls and web inquiries, addressing order-related questions within specified timeframes.
  • Resolve scheduling conflicts with relevant departments or logistics providers to meet customer expectations.
  • Engage with cross-functional teams to ensure customer satisfaction and exceed expectations.
  • Keep management informed of any issues and opportunities for improvement.
  • Handle complex situations for both domestic and international customer accounts.
  • Collaborate with various departments to address credits, returns, customer complaints, and invoicing issues.
  • Maintain accurate customer records and order activity documentation.
  • Work alongside Sales Representatives and other departments to resolve customer-related issues.
  • Exhibit a positive attitude to enhance customer satisfaction.
  • Report discrepancies and customer issues to management promptly.
  • Prepare correspondence, reports, and other necessary documentation.
  • Adhere to quality system procedures.
  • Demonstrate strong written and verbal communication skills.
Basic Qualifications
  • Associate's degree in Business Administration or a related field is preferred.
  • 2 to 4 years of experience in a Customer Service or Inside Sales role is required.
  • Experience in a multi-site distribution or manufacturing environment is essential.
  • Excellent telephone communication skills are necessary.
  • Ability to work effectively in a fast-paced customer service environment.
  • Strong teamwork and collaboration skills are essential.
  • Effective problem-solving, organizational, and multitasking abilities are required.
  • Attention to detail and strong decision-making skills are critical.
  • Proficiency in order fulfillment and Enterprise Resource Planning (ERP) systems is preferred.
  • Familiarity with Sales Force is a plus.
  • Knowledge of export/import logistics is advantageous.
  • Basic proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel.
