Job Overview:

Position Summary:

  • Responsible for operational functions in various areas including the management of high-capacity duplicating machinery, executing related copying tasks, and handling high-volume document imaging systems along with associated software.
  • Manages high-volume mail processing systems.
  • Produces reports for digital printing, imaging, and mailing systems in electronic formats.
  • Handles shipping and receiving of products and supplies, organizes, distributes, and manages incoming and outgoing mail/faxes, while applying necessary postage. Conducts maintenance and/or repairs on customer site equipment.
  • May also engage in bindery, quality control, final checks, housekeeping, file services, call center representation, and reception duties.
  • May undertake various building support functions related to meeting arrangements and light maintenance tasks.
  • This role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on the personnel structure at the site.

Key Responsibilities:

  • Operates high-capacity copy machines and performs binding and finishing tasks.
  • Utilizes high-volume document imaging systems.
  • Employs document image handling software.
  • Utilizes MS Office and email systems for file management.
  • Opens, saves, and transfers PC files according to established protocols.
  • Accesses document management systems following established guidelines.
  • Ensures functionality of convenience copiers through daily inspections, resolving paper jams, and notifying technicians of specific issues.
  • Maintains records for management reporting and inventory of necessary supplies.
  • Distributes office supplies, fax communications, and mail to personnel or designated drop-off points as required.
  • Calculates job charges and maintains billing logs.
  • Responds to and coordinates all service requests from customers.
  • May perform filing duties based on specific customer requests.
  • Delivers completed jobs to designated customer locations.
  • Maintains daily meter and service logs.
  • May require travel between customer facilities.
  • Addresses customer inquiries regarding job request status or feasibility.
  • Ensures upkeep of convenience copier areas by maintaining cleanliness and adequate supplies.
  • Handles duties related to the shipping and receiving of materials.
  • May assist with meeting room and conference room setups.
  • May facilitate building occupant relocations within assigned facilities.
  • May perform light maintenance tasks as assigned.
  • May engage in occasional cleaning duties as necessary.
  • May require periodic overtime, including off-hour emergency responses.
  • Utilizes various equipment including shrink-wrap machines, paper cutters, and bindery tools for job completion.
  • Employs all copier equipment, calculators, fax machines, postage meters, and some PC applications.
  • Conducts filing duties, which may include purging and archiving old documents.
  • Performs additional duties as assigned.

Qualifications:

  • Typically requires a high school diploma or GED along with 1-2 years of relevant experience or equivalent experience in a related field.
  • Preferred experience in related copy job functions.
  • May require a valid driver's license and minimum levels of auto insurance coverage as per company policy.

  • Ability to operate office machines and technical equipment.
