Job Overview:

Position Summary:

  • Responsible for executing operational tasks across various domains, including managing high-capacity duplication machinery, performing related copying functions, and overseeing high-volume document imaging systems and their software.
  • Handles extensive mail management processes.
  • Produces reports for digital printing, imaging, and mailing systems in electronic formats.
  • Manages the shipping and receiving of products and supplies, organizes, distributes, and processes incoming and outgoing correspondence, including faxes, while applying necessary postage. Provides maintenance and repair services for on-site equipment.
  • May also engage in bindery tasks, quality control, final inspections, housekeeping, file management, customer service, and reception duties.
  • May assist with various building support activities, including meeting setups and light maintenance. Note:
  • Due to the advanced level of presentation and communication skills required for reception duties, individuals in this role are classified as Senior On-Site Services Specialists.
  • This role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on the site structure.

Key Responsibilities:

  • Operates high-capacity copy machines and performs binding and finishing tasks.
  • Manages high-volume document imaging systems.
  • Utilizes document image handling software.
  • Operates MS Office and email systems for file management.
  • Handles file operations in accordance with established protocols.
  • Accesses document management systems following set procedures.
  • Ensures convenience copiers are functioning correctly through daily inspections, resolving paper jams, and reporting issues to technicians.
  • Maintains records for management reports and inventory of supplies.
  • Distributes office supplies, faxes, and mail to personnel or designated locations as required.
  • Calculates job charges and maintains billing logs.
  • Responds to and coordinates all service requests from customers.
  • May perform filing tasks as per specific customer requirements.
  • Delivers completed jobs to designated customer locations.
  • Keeps daily meter and service logs updated.
  • May travel between client facilities.
  • Addresses customer inquiries regarding job status or feasibility.
  • Maintains cleanliness and organization in copier areas.
  • Handles shipping and receiving duties for materials.
  • May assist with meeting room and conference room setups.
  • May facilitate building occupant relocations within assigned facilities.
  • May perform light maintenance tasks as assigned.
  • May undertake occasional cleaning duties as necessary.
  • May require overtime, including nights and weekends, for emergency responses.
  • Utilizes various equipment such as shrink-wrap machines, paper cutters, and bindery tools to complete assigned tasks.
  • Operates all copier equipment, calculators, fax machines, postage meters, and some PCs.
  • Engages in filing duties, including purging and archiving documents.
  • Performs additional duties as assigned.

Qualifications:

  • Typically requires a high school diploma or GED, along with 1-2 years of relevant experience or equivalent qualifications in a related field.
  • Prior experience in a related copying role is preferred.
  • A valid driver's license and minimum auto insurance coverage may be required per company policy.

  • Strong organizational skills with the ability to prioritize tasks.
  • Mathematical and filing capabilities.
  • Ability to operate office machines and technical equipment.
