Position Summary:
- Responsible for executing operational tasks across various functions, including managing high-capacity duplicating machinery, performing related copying duties, and overseeing high-volume document imaging systems and associated software.
- Manages high-volume mail processing systems efficiently.
- Produces digital reports for printing, imaging, and mailing systems.
- Handles shipping and receiving of products and supplies, sorts and distributes incoming and outgoing mail/faxes, and applies necessary postage. Provides maintenance and repair services for on-site equipment.
- May also engage in bindery work, quality control, final checks, housekeeping, file services, and reception duties.
- May undertake various building support tasks related to meeting setups and light maintenance. Note:
- Due to the advanced presentation and communication skills required for reception duties, individuals in this role are classified as Senior On-Site Services Specialists.
- This role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site personnel structure.
Key Responsibilities:
- Operates high-capacity copy machines and executes binding and finishing tasks.
- Manages high-volume document imaging systems.
- Utilizes document image handling software.
- Employs MS Office and email systems for file management.
- Handles opening, saving, and transferring PC files according to established protocols.
- Accesses document management systems following set guidelines.
- Ensures operational efficiency of convenience copiers through daily inspections, addressing quality issues, and reporting specific problems to technicians.
- Maintains records for management reporting and inventory of supplies.
- Distributes office supplies, faxes, and mail to designated personnel or drop-off points as necessary.
- Calculates job charges and maintains billing logs.
- Responds to and coordinates all service requests from customers.
- May perform filing tasks based on specific customer needs.
- Delivers completed projects to designated customer locations.
- Maintains daily service logs and meter readings.
- May require travel between customer facilities.
- Addresses customer inquiries regarding job status or feasibility.
- Ensures cleanliness and organization of convenience copier areas.
- Handles shipping and receiving tasks for materials.
- May assist with meeting room and conference room setups.
- May facilitate building occupant relocations within assigned facilities.
- May perform light maintenance tasks as assigned.
- May engage in occasional cleaning duties as required.
- May necessitate periodic overtime, including emergency responses outside regular hours.
- Utilizes various equipment, including shrink-wrap machines, paper cutters, and other bindery tools, to complete assigned tasks.
- Employs all copier equipment, calculators, fax machines, postage meters, and PCs as needed.
- Conducts filing duties, which may involve purging and archiving outdated documents.
- Performs additional duties as assigned.
Qualifications:
- Typically requires a high school diploma or GED, along with 1-2 years of relevant experience or equivalent experience in a related field.
- Preferred experience in a related copy job.
- May require a valid driver's license and minimum levels of auto insurance as per company policy.
Knowledge, Skills, and Abilities:
- Exceptional customer service skills.
- Proficient PC skills.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Mathematical proficiency and filing skills.
