Job Description

Reporting to the Director of Operations, the Finance Operations Supervisor will be accountable for the proficient management of essential processes and ensuring satisfaction for both the company and its clients. This role encompasses overseeing daily operations, which include preparing accurate ledger entries and reconciliations, maintaining general ledgers, and generating monthly, quarterly, and annual financial statements. Additionally, the supervisor will manage homeowner budgets and other financial responsibilities related to homeowner bank accounts.

This position demands exceptional multi-tasking abilities and the capacity to execute responsibilities in a dynamic environment. The ideal candidate should be assertive, capable of making informed decisions amidst uncertainty, and comfortable engaging with key stakeholders within the organization to facilitate a clear understanding of processes and procedures.

Key Responsibilities

  • Enhance operational systems, processes, and policies to support the organization's mission, particularly in improving management reporting, information flow, and organizational planning.
  • Conduct daily reconciliations of client bank accounts.
  • Ensure the accuracy and timely submission of all payable and receivable actions.
  • Oversee the management of monthly eStatements and secure document processes.
  • Prepare and generate monthly financial reports, adhering to deadlines each month.
  • Guarantee timely generation of billing and processing of statements.
  • Ensure accurate processing of collections.
  • Efficiently handle the responsibilities associated with monthly financial reports for clients, ensuring proper integration into all required systems and applications.
  • Review and monitor all accounting functions and processes.
  • Actively participate in meetings, training sessions, and initiatives aimed at process improvement that align with the organization's growth objectives.
  • Supervise and manage necessary adjustments within the department, including continuous oversight of time and attendance for accounting personnel.
  • Adhere to all established policies and procedures to maintain an effective 'checks and balances' system.

Qualifications

  • A minimum of five years of accounting experience is required; an accounting degree is preferred.
  • Exceptional attention to detail.
  • Comfortable in a working manager role.
  • Able to oversee the work of others effectively.
  • Strong communication skills.
  • Ability to collaborate with a diverse group of individuals.
  • Must thrive in a fast-paced environment and be adept at making decisions in ambiguous situations.

Experience and Training

Associate degree or equivalent from a two-year college or technical school; a bachelor's degree is preferred, or five years or more of related experience and/or training; or an equivalent combination of education and experience.

Physical Demands

This position requires a 40-hour work week from 8:00 A.M. to 5:00 P.M., Monday through Friday. Candidates must be comfortable and able to sit for extended periods throughout the workday.
