As the Senior Administrative Partner to the VP of Product Operations, your primary responsibility will be to maintain organization within the Product Operations team, enabling them to concentrate on growth and refining our product support services. In this capacity, you will provide direct assistance to the VP, Product Operations, managing daily administrative and operational tasks, while also offering support to the Product Operations leadership team and collaborating with the broader Marketing Organization and stakeholders across Figma.

Key Responsibilities:

  • Deliver comprehensive support to the VP of Product Operations and provide assistance to four Directors within the leadership team.
    • Support for the VP includes extensive involvement in leadership meetings, tracking agendas, documenting action items, and following up on progress, as well as managing calendars, inboxes, organizing team communications, arranging travel, and collaborating with the Strategic Program Manager.
    • Support for the Directors involves calendar management and logistical assistance for offsite events.
  • Act as a representative for the VP, approving expenses, purchase orders, and other necessary tools while adhering to internal policies.
  • Serve as a strategic collaborator with the VP and their leadership team, focusing on Product Operations processes and long-term strategies.
  • Identify opportunities to enhance the VP's efficiency and provide recommendations regarding time management and prioritization.
  • Seek out process improvement opportunities within the team and across the organization.
  • Prepare and create presentations and content for the VP using Figma and FigJam.
  • Collaborate with the Strategic Program Manager to coordinate large-scale planning for monthly and quarterly meetings, including in-person leadership and team offsites, while liaising with external venues and internal partners.
  • Work with internal teams to ensure alignment on projects, company milestones, and internal events, which may involve some project management tasks.
Qualifications:
  • Minimum of 4 years of experience in an administrative or support capacity.
  • Ability to thrive in a fast-paced environment and adapt to evolving demands.
  • Exceptional communication skills, capable of engaging with a diverse range of internal and external stakeholders.
  • Proficient in prioritizing tasks and anticipating needs.
  • Dependable and trustworthy, with a commitment to maintaining confidentiality.
  • Passionate about fostering inclusivity and approaching initiatives with a positive perspective.
Preferred Qualifications:
  • Interest in mastering our product and a strong affinity for Figma.
  • Experience supporting teams of 150+ individuals, particularly in complex global environments.
  • Previous experience in supporting technical support teams.
  • A desire to be a strategic collaborator with the VP.
