Administrative Operations Coordinator

The primary responsibility of this role is to provide essential back-office support for our North American operations while coordinating with international offices.
The Administrative Operations Coordinator will be a key player in the organizational framework, managing various functions to ensure the seamless and effective execution of daily tasks.
This position operates on a hybrid schedule, and only local candidates will be considered.

Key Responsibilities:
Oversee the human resources operations for the U.S. and Canadian offices, including recruitment, onboarding, offboarding, maintenance of employee records, performance evaluation, employee relations, and handling grievances and disciplinary actions.
Manage payroll and benefits processes, ensuring timely and accurate salary disbursement while adhering to relevant regulations.
Collaborate with leadership to formulate budgets, track spending, and conduct financial planning and analysis.
Coordinate with the finance team in Hong Kong to reconcile financial documents, monitor expenses, and prepare financial statements.
Supervise facilities management, coordinate maintenance tasks, address safety issues, and manage office supplies and equipment.
Establish and enforce office policies and procedures, providing training and guidance to staff on compliance.
Offer administrative assistance to the management team and staff, including calendar management, appointment scheduling, meeting coordination, and correspondence handling.
Engage with vendors, suppliers, and service providers for office-related requirements. Solicit price quotes, negotiate contracts, and assess vendor performance.
Organize staff events, activities, and travel arrangements.
