Position Summary

The Scheduling Resource Manager plays a pivotal role in ensuring that the care requirements of clients are addressed promptly and consistently. This position involves supporting caregivers with their scheduling preferences and availability while overseeing the daily functions of the scheduling department. The Scheduling Resource Manager collaborates closely with the Operations Manager and recruitment teams to facilitate smooth operations across various departments, including payroll and billing.

Key Responsibilities
  • Organize and coordinate all client visits based on their needs and optimal resource utilization.
  • Maintain ongoing communication and foster relationships with current patients and referral sources to assess staffing requirements and explore new business opportunities.
  • Develop and nurture industry connections to enhance knowledge, referrals, and business development prospects.
  • Work alongside the recruitment team to devise effective hiring strategies and assist in onboarding caregivers.
  • Ensure compliance with all regulations and policies by collaborating with compliance teams to address any deficiencies identified during audits.
  • Supervise caregivers during assignments, addressing concerns and providing necessary coaching and disciplinary actions as needed.
  • Deliver constructive feedback to caregivers regarding attendance, dress code, and other performance-related issues.
  • Participate in budget planning and monthly operational reviews.
  • Guarantee accurate billing for services rendered, analyze data for discrepancies, and drive resolutions.
  • Safeguard the confidentiality of all consumer and personnel records in line with agency and HIPAA standards.
  • Collaborate with clinical management to uphold clinical standards and ensure caregiver availability meets client needs.
  • Review and manage requests for time off from schedulers and coordinate necessary scheduling adjustments.
  • Communicate client schedules and job responsibilities to caregivers effectively.
  • Document all scheduling actions in the designated system.
  • Oversee the on-call coverage schedule.
  • Perform additional duties as assigned.
Qualifications and Skills

To excel in this role, candidates must meet the following qualifications:

  • A Bachelor's degree or equivalent experience in a business office setting, with a minimum of 2 years in a management or leadership role.
  • At least 2 years of recent experience as a Scheduling Coordinator in a home care or healthcare environment.
  • Preferred: Minimum of 1 year in a supervisory capacity.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to work independently and collaboratively within a team.
  • Strong customer service and problem-solving capabilities.
  • Attention to detail, organizational skills, and adaptability.
  • Fluency in Spanish is required.
  • Exceptional written and verbal communication skills.
  • Capacity to prioritize and manage a high volume of decisions.
  • Preferred: Experience in Home and Community Based Services, Managed Care, or Waiver programs.
Physical Demands
  • Ability to remain stationary for extended periods while working at a desk or computer.
  • Occasional requirements to stand, sit, walk, and use hands for various tasks.
Work Environment
  • Office-based environment.
