Position Summary

The Scheduling Resource Manager plays a crucial role in ensuring that the care needs of clients are addressed promptly and efficiently. This position involves supporting caregivers by managing their shift preferences and availability. The Scheduling Resource Manager is responsible for overseeing the daily functions of the scheduling department, providing essential guidance and support to Scheduling Coordinators. This role requires collaboration with the Operations Manager and recruitment teams to enhance service delivery across all departments, including payroll and billing processes.

Key Responsibilities
  • Organize and manage all client visits based on their needs and optimal resource utilization.
  • Maintain ongoing communication and foster relationships with active clients and referral sources to assess current staffing requirements and explore potential business opportunities.
  • Develop and nurture industry connections to enhance knowledge, gain referrals, and identify business development leads.
  • Work closely with recruitment to devise effective hiring strategies and assist in the onboarding and compensation negotiations for caregivers.
  • Ensure compliance with all regulations, laws, and policies in collaboration with compliance teams, addressing any deficiencies identified during audits.
  • Supervise caregivers during assignments, addressing concerns and providing necessary coaching and disciplinary actions when required.
  • Deliver constructive feedback to caregivers regarding attendance, dress code, and other performance-related issues, documenting findings and escalating as necessary.
  • Participate in budget development and Monthly Operating Review meetings for the Care Center.
  • Ensure accurate billing for services rendered, analyze data for discrepancies, and drive resolutions for identified issues.
  • Safeguard the confidentiality of all consumer records and personnel files in accordance with agency and HIPAA guidelines.
  • Collaborate with local Clinical Managers and nursing leadership to implement clinical standards and ensure the caregiver pool meets client needs.
  • Review and manage requests for time off from schedulers and coordinate necessary scheduling adjustments.
  • Communicate client schedules and job responsibilities to caregivers for assigned shifts.
  • Document all scheduling actions accurately within the scheduling system.
  • Oversee the on-call coverage schedule.
  • Perform additional duties as assigned.
Qualifications and Skills

  • Required: Bachelor’s degree with a minimum of 2 years of experience in a business office environment, or equivalent management experience.
  • At least 2 years of recent experience as a Scheduling Coordinator in a home care agency or healthcare setting.
  • Preferred: Minimum of one year of management or supervisory experience.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to work independently and collaboratively within a team.
  • Exceptional customer service and problem-solving abilities.
  • Strong attention to detail, organizational skills, and adaptability.
  • Fluency in Spanish is required.
  • Outstanding written and verbal communication skills.
  • Capacity to prioritize and manage a high volume of decision-making.
  • Preferred: Experience in Home and Community Based Services, Managed Care, or Waiver programs.
Physical Demands
  • Ability to remain in a stationary position for extended periods while working at a desk or computer.
  • Occasional requirements for standing, sitting, walking, and using hands for various tasks.
