Company Overview: We are collaborating with a leading provider of technical engineering services and project management solutions.

Position Summary: We are seeking a dedicated Project Management and Procurement Specialist to join our team.

Key Responsibilities:

  • Project Coordination: Regularly update and disseminate internal project issues and timelines in collaboration with Engineers and Program Managers.
  • Task Management: Assist in coordinating task lists and punch lists among all Engineers and Program Managers as required.
  • Documentation Management: Ensure all PDF quotations sent to clients are accurately updated in the network and stored in the correct files.
  • Record Keeping: Maintain precise records of all quotations, Excel spreadsheets, RFQs, and proposals related to job files.
  • Meeting Participation: Attend weekly project meetings, take detailed notes, and summarize them in the Customer Job or Quote file.
  • Quotation Management: Issue quotation numbers and maintain a comprehensive Quote List.
  • Quotation Development: Collaborate with the Program Manager to assist in obtaining quotes, bids, and pricing.
  • RFQ Assistance: Support Project Managers with RFQs as needed.
  • Purchase Requisition Support: Aid in drafting and obtaining approvals for purchase requisitions as required.

Customer Engagement:

  • Regularly follow up with customers regarding outstanding quotations in conjunction with the Program Manager.

Procurement Duties:

  • Ensure all vendors possess current tax identification.
  • Receive and process purchase requisitions.
  • Obtain necessary approvals for all purchases.
  • Verify that all purchases align with budget constraints and update the job bill of materials accordingly.
  • Assign purchase orders and ensure proper documentation is completed.
  • Distribute purchase orders along with tax exemption forms.
  • Confirm that all required insurances are in place.
  • Monitor shipments to guarantee timely delivery.
  • Maintain current liability and workers' compensation insurance for vendors.
  • Facilitate the processing of credit applications.

Marketing Responsibilities:

  • Conduct monthly mass mailings to customers.
  • Review bounce-back communications monthly to track customer movements.
