Job Title: Facilities Coordinator

Job Summary:

Under general supervision, you will be fully accountable for all aspects related to your assigned customer accounts. Your responsibilities will include conducting follow-ups and closing tasks for open work orders on dedicated accounts to ensure compliance with contractual obligations. The goal is to guarantee timely completion of work orders. This role also involves managing daily communications with customers, which encompasses keeping them informed about ongoing work, providing updates, and addressing any escalations. You will serve as the primary point of contact for designated clients, handling all accounts payable, billing, and service provider issues.

Essential Duties and Responsibilities:

  • Provide administrative support including procurement, vendor oversight, scheduling, reporting, and Purchase Order management as assigned by supervisors.
  • Offer administrative and technical guidance to subcontractors in completing their work assignments.
  • Collaborate with all departments to ensure equipment operates efficiently and service remains uninterrupted.
  • Respond to requests for maintenance and repairs, including HVAC, security systems, IT equipment, and emergency situations affecting facilities.
  • Maintain comprehensive records, files, controls, and procedures to support management and work output.
  • Implement a robust safety program in alignment with EGS guidelines.
  • Ensure effective communication with employees, management, contractors, and customers.
  • Participate in budget and forecast development while identifying cost-saving opportunities across all functions.
  • Prepare daily and weekly reports on open work orders for supervisor review.
  • Keep accurate records of all office-related matters, ensuring files are current and complete.
  • Communicate with supervisors regarding work performed and preventive maintenance activities.
  • Attend weekly staff meetings and safety training sessions.

Qualifications:

  • Associate's Degree or equivalent experience.
  • A minimum of two years in facilities maintenance, property management, or customer service is required.
  • Experience in managing service delivery for trades such as electrical, HVAC, plumbing, or roofing is preferred.
  • Bi-lingual in English and Spanish is a plus.
  • Advanced proficiency in MS Windows applications, including Excel and Word.
  • Typing speed of at least 50 words per minute with strong writing skills.
  • Professional demeanor with a commitment to exceeding expectations.
  • Ability to work under pressure, make sound decisions with limited input, and know when to escalate issues to management.
  • Effective communication skills across all operational functions.
  • Strong critical thinking and problem-solving abilities.
  • Maintain a courteous and professional demeanor at all times.
  • Demonstrate confidence in providing and receiving relevant information.
  • Reliability and a strong work ethic are essential.
