Position Overview:

The Facilities Coordinator is accountable for managing all facets related to assigned customer accounts. This role involves ensuring timely completion of work orders through effective communication and follow-up with clients. The coordinator serves as the primary liaison for designated customers, addressing inquiries and providing updates on ongoing work.

Key Responsibilities:

  • Provide administrative support including vendor coordination, scheduling, reporting, and Purchase Order management.
  • Offer technical guidance and oversight to subcontractors in executing work tasks.
  • Collaborate with various departments to ensure seamless operation of equipment and services.
  • Respond to maintenance requests, including HVAC, security systems, IT infrastructure, and emergency situations.
  • Maintain accurate records and documentation to support management and operational efficiency.
  • Implement and uphold safety protocols in alignment with EGS standards.
  • Foster effective communication with team members, management, contractors, and clients.
  • Participate in budget development and identify cost-saving opportunities across operations.
  • Prepare daily and weekly reports on open work orders for management review.
  • Ensure all office-related documentation is organized and current.
  • Communicate regularly with supervisors regarding work progress and preventive maintenance activities.
  • Attend staff meetings and safety training sessions as required.

Qualifications:

  • Associate's Degree or equivalent experience.
  • A minimum of two years in facilities maintenance, property management, or customer service is required.
  • Experience in managing service delivery for trades such as electrical, HVAC, plumbing, or roofing is preferred.
  • Bi-lingual proficiency in English and Spanish is advantageous.
  • Advanced skills in MS Windows Applications, particularly MS Excel and Word.
  • Typing speed of at least 50 words per minute with strong writing capabilities.
  • Professional demeanor with a commitment to excellence in service delivery.
  • Ability to perform under pressure and make informed decisions with limited guidance.
  • Strong communication skills to effectively interact with all levels of operations staff.
  • Critical thinking and problem-solving abilities are essential.
  • Maintain a courteous and professional attitude at all times.
  • Demonstrate reliability and a strong work ethic.
