Position Title: Facilities Coordinator

Position Overview:

Under general supervision, you will be accountable for all elements related to your assigned customer accounts. This role involves conducting follow-ups and closure activities for open work orders on dedicated National/Supplier Management Accounts to fulfill contractual commitments. The primary goal is to ensure timely completion of work orders. Additionally, you will manage daily communications with customers, keeping them informed about ongoing work, providing updates, and addressing escalations. You will serve as the main contact for designated clients, handling all accounts payable, billing, and service provider issues.

Key Responsibilities:

  • Provide administrative support, including procurement, vendor oversight, scheduling, reporting, and Purchase Order management, along with any other tasks assigned by supervisors.
  • Offer administrative and technical guidance to subcontractors in completing work assignments.
  • Collaborate with all departments to ensure optimal equipment operation and prevent service disruptions.
  • Respond to maintenance and repair requests for facilities, including HVAC, security systems, IT equipment, and emergency situations.
  • Maintain comprehensive records, files, controls, and procedures to support management and operational productivity.
  • Implement a robust safety program in accordance with EGS guidelines.
  • Foster effective communication with employees, management, contractors, and customers.
  • Participate in budget and forecast development while identifying and implementing cost-saving initiatives across all functions.
  • Prepare daily/weekly reports on open work orders for supervisor review.
  • Keep accurate records of all office-related matters, ensuring files are current and complete.
  • Communicate with supervisors regarding performed work and preventive maintenance.
  • Attend weekly staff meetings and safety training sessions.

Qualifications:

  • Associate's Degree or equivalent experience.
  • A minimum of two years of experience in facilities maintenance, property management, or customer service is required.
  • Experience in managing service delivery for trades such as electrical, HVAC, plumbing, or roofing is preferred.
  • Bi-lingual in English and Spanish is preferred.
  • Advanced proficiency in MS Windows applications, including MS Excel and Word.
  • Typing speed of at least 50 words per minute with strong writing skills.
  • Professional and approachable demeanor, committed to achieving the mission.
  • Ability to perform under pressure and make sound decisions with limited input, knowing when to escalate issues to the Facilities Manager or Account Manager.
  • Effective communication skills with all operational staff and call center teams to achieve program objectives.
  • Strong critical thinking and problem-solving abilities.
  • Maintain a courteous and professional demeanor at all times.
  • Exhibit confidence in providing and receiving relevant information.
  • Demonstrate punctuality, reliability, and a strong work ethic.
