Job Summary

The Henry Ford is seeking a highly skilled and organized Administrative Assistant and Project Coordinator to provide administrative support and project coordination to the Vice President of Venues, Programs and Marketing. This role is critical in maintaining the department's efficiency, allowing other team members to focus on advancing the nonprofit's mission and programs.

Key Responsibilities
  • Administrative Support: Perform standard office duties, such as filing, handling incoming and outgoing communications, answering phones, scanning documents, handling information requests, receiving visitors, arranging conference calls, and other tasks as needed.
  • Calendar Management: Manage calendars and schedule meetings with internal and external partners.
  • Project Coordination: Assist with administrative details and facilitate the effective workflow of the Vice President, Venues, Programs and Marketing.
  • Project Planning: Track and coordinate various marketing, programming, and venue management project plans.
  • Project Management Tools: Use project management tools to track and monitor project plans and alert stakeholders of changes.
  • Internal Projects: Participate in and sometimes lead internal projects.
  • Action Item Tracking: Document and follow up on important action items.
  • Document Creation: Create expense reports, generate letters, PowerPoint presentations, and process documents as needed.
  • Correspondence: Draft, proofread, and edit correspondences and communications as requested.
Requirements
  • Advanced Proficiency: Advanced proficiency of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Project Management Experience: 1 or more years of project management experience, or equivalent education/coursework.
  • Administrative Experience: 2 or more years of administrative support or customer service experience.
  • Communication Skills: Excellent verbal, written, and interpersonal communication skills.
  • Time Management: Strong time management and organizational skills and ability to efficiently manage multiple projects simultaneously with possible competing priorities.
  • Confidentiality: Ability to maintain high-level confidentiality.
  • Adaptability: Demonstrated ability to manage various priorities and stakeholders, as well as adaptability and flexibility to changing priorities and project requirements.
