Job Overview

POSITION SUMMARY

The Administrative Coordinator plays a crucial role in managing various clerical responsibilities for the organization. This position provides essential support to the Chief Executive Officer (CEO), Chief Financial Officer (CFO), Board of Directors, and other departments within the organization.

KEY RESPONSIBILITIES

Executive Support

  • Oversee executive schedules and arrange meetings
  • Maintain calendars for the board and committees, ensuring timely meeting setups
  • Track and manage executive expenses, preparing necessary reports as required
  • Coordinate travel logistics for executives attending conferences and seminars
  • Organize meetings and prepare necessary materials for the Board of Directors and other stakeholders
  • Assist in the preparation and distribution of meeting agendas and minutes for various board and committee sessions
  • Maintain organized records for the Board of Directors, including governance and attendance documentation
  • Prepare orientation materials for new board and committee members
  • Serve as the note-taker during board and committee meetings
  • Manage office supplies and documentation
  • Support various organizational events, programs, and recognition ceremonies

Human Resources and Payroll

  • Oversee the pre-employment background check process, new employee orientation, onboarding, and offboarding
  • Coordinate job postings and facilitate candidate pre-screening interviews
  • Manage new employee orientation, including office procedures and paperwork
  • Process bi-weekly payroll by tracking timecards and resolving discrepancies
  • Update HR databases with employee information, including new hires, terminations, and leave records
  • Address employee inquiries and provide necessary information
  • Ensure compliance with organizational HR policies and procedures
  • Organize and maintain personnel records and documentation
  • Keep personnel files well-organized and up to date

Finance and Office Management

  • Sort and distribute incoming mail on a daily basis
  • Respond to general inquiries at the front desk
  • Reconcile and track employee credit card transactions for managerial approval
  • Record deposit transactions in the accounting system
  • Participate in inventory counts as required
  • Perform miscellaneous job-related tasks as assigned
  • Provide cross-training and coverage in the Finance Department as needed

Part-time, Non-exempt; 4 days a week (Mon-Thurs), 6 hrs/day; $20/hr
