POSITION OVERVIEW:

This role is tailored for an entry-level editor to gain experience and familiarity with the editorial functions and duties within a healthcare marketing agency. The Junior Editorial Specialist starts without specific account responsibilities, primarily assisting Editors and Senior Editors through proofreading tasks until they are fully integrated into the workflow and expectations. Upon demonstrating consistent satisfactory performance and completing foundational training, the individual will gradually take on smaller accounts.

KEY RESPONSIBILITIES:

Proofreading Duties

Ensures version control, maintains the integrity of project files, and confirms that requested modifications have been accurately implemented throughout various rounds of project review.

Copy Editing Responsibilities

Assists in guaranteeing correct spelling, grammatical precision, adherence to AMA/brand guidelines, and uniformity across all brand deliverables.

Fact Verification

Contributes to the validation of data and factual information utilizing provided references, annotations, and general scientific and mathematical knowledge.

PRIMARY TASKS:

Proofreading

  • Supports editorial colleagues with proofreading and other editorial responsibilities across one or more brands, which may require work beyond standard hours or on weekends depending on project timelines.
  • Conducts meticulous reviews of files against an approved reference, ensuring that each project accurately reflects the source material and incorporates specified revisions.
  • Provides clear, concise, and comprehensive feedback through digital markups.
  • Performs correction checks for most review rounds.
  • Utilizes technological tools to enhance the efficiency of manual reviews as appropriate.

Copy Editing

  • Conducts initial edits and evaluations of print and digital materials, as well as internal agency documents, at the discretion of the supervisor.
  • Reviews content for clarity, spelling, grammar, brand style, readability, consistency, accuracy, and context, offering clear and thorough feedback.

Fact Verification

  • Assists in confirming data and factual information using provided references and general scientific and mathematical understanding.
  • Identifies permission requirements for copyrighted materials.

Brand Management

  • Can act as the lead editor for assigned brands once foundational training is completed.
  • Develops proficiency in the specifics of assigned accounts.
  • Participates in status, hot sheet, and kick-off meetings for assigned brands as necessary.
  • Updates style guides for all assigned brands and collaborates with other editors to make informed decisions regarding brand style.

Collaboration and Communication

  • Maintains daily communication with internal team members to provide updates on all project aspects.
  • Notifies team members and supervisors of challenging deadlines.
  • Establishes and communicates workload priorities to managers and supporting staff.
  • Works effectively within a team environment to foster collaboration and ensure that goals are met while maintaining quality standards.

Continuous Learning

  • Collaborates with the immediate supervisor to become fully knowledgeable about agency processes and best practices.

Administrative Duties

  • Maintains a timely and detail-oriented approach to administrative responsibilities.
  • Assists in arranging backup coverage when out of the office.

EDUCATIONAL REQUIREMENTS:

DEGREE/DIPLOMA: Bachelor's

FIELD OF STUDY: English, communications, journalism, biology, or a related discipline. An advanced degree in a related field may be considered in lieu of required experience.

REQUIRED/PREFERRED: Preferred

CERTIFICATIONS:

No certifications required

EXPERIENCE:

1-2+ years of proofreading/editing experience

0-1+ years in a corporate or agency setting

SKILLS AND KNOWLEDGE:

  • Strong command of the English language, including exceptional spelling, writing, punctuation, and grammar skills.
  • Proficiency in computer applications, including Microsoft Office and Adobe Acrobat.
  • General mathematical competency.
  • Familiarity with editorial standards (AMA preferred).
  • Understanding of medical terminology.
  • Excellent interpersonal skills: Develops positive, professional relationships within the department and across various disciplines.
  • Basic time management skills with the ability to plan, work efficiently, and prioritize projects effectively to complete all tasks accurately and promptly.
  • Effective communication skills: Capable of expressing ideas clearly and effectively.
