This role is tailored for a novice editor seeking to gain experience and familiarity with the editorial functions and duties within a healthcare marketing agency. The Junior Editorial Specialist will initially not have specific account responsibilities; instead, they will assist Editors and Senior Editors primarily through proofreading tasks until they are fully integrated into the workflow and expectations. Following consistent demonstration of satisfactory performance and completion of foundational training, the specialist will gradually take on smaller accounts.

ESSENTIAL FUNCTIONS:

Proofreading

Ensures version control, maintains project file integrity, and confirms that requested modifications have been accurately applied throughout various rounds of project routing.

Copy Editing

Assists in guaranteeing correct spelling, grammatical precision, adherence to AMA/brand style guidelines, and uniformity across brand deliverables.

Fact Checking

Supports the verification of data and factual information utilizing provided references, annotations, and general scientific and mathematical knowledge.

JOB DUTIES/RESPONSIBILITIES:

Proofreading

  • Collaborates with Editorial colleagues on proofreading and other editorial tasks for one or more brands, which may require work beyond standard hours or on weekends depending on project timelines.
  • Conducts thorough reviews of files against an approved backup, ensuring each project accurately reflects the indicated source material and incorporates specified revisions.
  • Provides clear, concise, and comprehensive feedback through digital markups.
  • Performs correction checks and line slugs for most intervening rounds.
  • Utilizes technological tools to enhance the efficiency of manual reviews as appropriate.

Copy Editing

  • Conducts initial edits and cold reads of print and digital materials, as well as internal agency documents, at the discretion of the supervisor.
  • Reviews for coherence, spelling, grammar, brand style, readability, consistency, accuracy, and context within each job and all related jobs, providing clear, concise, and thorough comments.

Fact Checking

  • Assists in verifying data and factual information using provided references, annotations, and general scientific and mathematical knowledge.
  • Identifies permission requirements for copyrighted materials.

Brand Stewardship

  • Can serve as the lead editor for assigned brand(s) once foundational training is completed.
  • Develops proficiency in the specifics of assigned accounts.
  • Participates in status, hot sheet, and kick-off meetings for assigned brands as necessary.
  • Updates style guides for all assigned brands and utilizes appropriate resources, including other editors, to make informed decisions about brand style.

Communication and Collaboration

  • Ensures daily communication with internal team members to keep them informed on all project aspects.
  • Notifies team members and supervisors of challenging deadlines.
  • Establishes and communicates workload priorities to the manager and other supporting staff.
  • Works effectively within a team environment to foster a collaborative atmosphere and ensure that goals are met while maintaining quality control.

Active Learning

  • Collaborates with the immediate supervisor to become fully knowledgeable about agency processes and best practices.

Administration

  • Maintains a timely and detail-oriented approach to administrative responsibilities.
  • Assists in arranging backup coverage when out of the office.

EDUCATION:

DEGREE/DIPLOMA: Bachelor's

AREA OF STUDY: English, communications, journalism, biology, or a related field. An advanced degree in a related field may be considered in lieu of required experience.

AREA OF EXPERTISE:

1-2+ years of proofreading/editing experience

0-1+ years in a corporate or agency environment

KNOWLEDGE AND SKILLS:

  • Strong command of the English language, including excellent spelling, writing, punctuation, and grammar skills.
  • Proficient in computer applications, including Microsoft Office and Adobe Acrobat.
  • General mathematical competency.
  • Familiarity with editorial guidelines (AMA preferred).
  • Knowledge of medical terminology.
  • Strong interpersonal skills: Develops positive, professional relationships within the department and across disciplines.
  • Basic time management skills with a demonstrated ability to plan ahead, work efficiently, and prioritize projects effectively to complete all work accurately and timely.
  • Basic communication skills: Can express ideas clearly and effectively.
