Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Select Source International. As an Administrative Coordinator, you will provide administrative support to our Plant Manager and ensure the smooth operation of our facility.

Key Responsibilities
  • Provide administrative support to the Plant Manager, including preparing reports, managing paperwork, and maintaining records.
  • Manage accounts payable, including paying facility bills in a timely manner and keeping accurate records.
  • Oversee purchasing, including acquiring necessary supplies and maintaining records of payment.
  • Greets and directs visitors, handles phone coverage, and organizes special events.
  • Maintain facility files, perform document control, and introduce new forms and procedures as needed.
  • Process daily paperwork and reports, review production records, and generate budget reports.
  • Source and obtain quotes for blends, pure products, and raw materials.
  • Track employee training sessions and monthly safety meetings.
  • Schedule physicals, such as hearing and respiratory exams, and drug tests as required by federal regulatory agencies.
  • Ensure all facility licenses and permits are current.
  • Manage cylinder invoicing, transferring, manifesting, ordering, and inventory adjustments.
  • Maintain office equipment and supplies.
  • Keep track of bulk products received on a daily basis and input data into our system.
  • Help prepare annual state and federal compliance reports.
  • Oversee shipping and receiving records, procedures, and regulations.
  • Keep track of Dangerous Goods Regulations and ensure they are properly applied.
  • Work with 3rd party logistics companies to rectify errors and assign billing to correct parties.
  • Maintain a good relationship with common carriers and ensure shipments arrive at destinations in good condition.
Requirements
  • High School diploma or GED required.
  • 5+ years of experience as an administrative assistant.
  • Proficiency in Google Workspace.
  • Ability to enter data efficiently, timely, and correctly to meet deadlines.
  • Good planning and organizational skills.
  • Ability to professionally interact with business contacts both inside and outside the company.
  • Strong verbal, listening, and written communication skills.
  • Attention to detail and a high level of accuracy and confidentiality.
  • Strong time management and multitasking skills.
  • Ability to work independently or as a team player.
  • Knowledge of processes and systems such as Oracle.
