Executive Administrative Coordinator

Position Summary
The Administrative Assistant plays a vital role in delivering extensive administrative assistance to the Senior Leaders at Catalyst Physician Group (CPG). This position is essential for managing corporate activities with discretion, organizing schedules, and preparing a variety of documents including reports and presentations under the guidance of the Regional Operator.
Key Responsibilities
- Provide confidential administrative support to Senior Leaders, managing a variety of clerical tasks.
- Oversee the calendar of Senior Leadership, organizing meetings, travel arrangements, and virtual conferences.
- Handle incoming calls, prioritize inquiries, and take detailed messages while addressing routine questions.
- Maintain shared calendars and coordinate recurring meetings led by Senior Leaders, ensuring accurate documentation of meeting minutes.
- Work closely with the Recruiting department to engage Provider candidates promptly.
- Anticipate and resolve scheduling conflicts proactively to enhance efficiency.
- Facilitate the onboarding and offboarding processes for Providers, collaborating with HR Operations and Credentialing departments.
- Ensure timely processing of Accounts Payable related to Provider expenses and reimbursements.
- Monitor compliance with Prescriptive Authority documentation and report to leadership as necessary.
- Draft and edit correspondence, reports, and memoranda to ensure clear communication.
- Prepare various documents and presentations as requested by Executive Leadership.
- Perform accurate data entry for designated databases.
- Organize and maintain corporate documents, agreements, and contracts.
- Manage the processing of recurring corporate invoices and expenses, providing monthly account reconciliations.
- Coordinate the approval process for regional expenses.
- Serve as Co-Administrator for shared files utilizing SharePoint and OneDrive.
- Provide ongoing support to Human Resources as needed, in addition to executive assistant responsibilities.
- Adhere to all clinical safety protocols and infection control procedures.
Qualifications
- 2-3 years of experience supporting leadership roles.
- Typing proficiency of at least 55 words per minute.
- Strong expertise in MS Office applications (Word, PowerPoint, Outlook, Excel).
- Ability to take meeting minutes and create agendas and presentations.
- High proficiency in calendar management and meeting coordination.
- Experience in processing invoices.
- Willingness to work onsite during standard business hours.
- Exceptional written and verbal communication skills.
- Capability to manage multiple projects while meeting deadlines.
- Maintain effective and courteous relationships with colleagues, supervisors, and external stakeholders.
- Experience handling sensitive information.
- Preferred experience in a medical environment.
- Familiarity with Athena or other EMR systems is highly desirable.
- Knowledge of HIPAA regulations and compliance.
- Understanding of Bloodborne Pathogen and OSHA Safety procedures.
